Job summary

A leading supplier in Malaysia is seeking a Procurement Specialist responsible for supplier sourcing and management, cost control, and data reporting. The successful candidate will manage procurement contracts, perform inventory oversight, and ensure compliance with company policies. Strong relationships with suppliers and effective negotiation skills are essential to maintain cost efficiency and support the company's operational goals. This role provides an opportunity to collaborate across various departments and contribute to strategic cost-saving initiatives.

Responsibilities

  • Identify, evaluate and qualify new suppliers; establish and maintain an approved supplier list.
  • Conduct regular performance reviews of existing suppliers, covering quality, delivery, service, and cost‑effectiveness.
  • Build long‑term cooperative relationships with suppliers and optimize terms through negotiation to ensure supply chain stability.
  • Perform cost calculation and price analysis for materials, products, and services; prepare comparative cost reports.
  • Estimate total procurement costs based on market trends, historical data, and supplier quotations.
  • Continuously reduce procurement costs through negotiation and alternative solutions.
  • Issue purchase orders according to demand plans and track order fulfillment.
  • Handle procurement exceptions such as delays or quality issues.
  • Manage procurement contracts to ensure favorable terms and monitor compliance.
  • Monitor inventory levels and collaborate with planning teams to optimize safety stock.
  • Analyze price trends of materials and recommend adjustments to procurement strategies.
  • Maintain procurement data, regularly updating price databases and supplier records.
  • Prepare reports such as procurement cost analysis and supplier performance reviews.
  • Work closely with production, finance, quality, and other departments.
  • Participate in new product development, providing input on cost optimization.
  • Adhere to company procurement policies and compliance requirements.
  • Continuously improve procurement procedures and propose feasible solutions.
Job description
1. Supplier Sourcing and Management

  • Build long‑term cooperative relationships with suppliers and optimize terms through negotiation to ensure supply chain stability.
2. Cost Control and Analysis
  • Perform cost calculation and price analysis for materials, products, and services; prepare comparative cost reports.
  • Estimate total procurement costs (including logistics, storage, and other hidden costs) based on market trends, historical data, and supplier quotations.
  • Continuously reduce procurement costs through negotiation, volume consolidation, and alternative solutions to meet cost‑saving targets.
3. Procurement Execution and Order Management
  • Issue purchase orders according to demand plans and track order fulfillment to ensure on‑time delivery.
  • Handle procurement exceptions such as delays or quality issues, coordinating returns, replacements, or claims as necessary.
  • Manage procurement contracts to ensure favorable terms and monitor compliance.
4. Inventory and Cost Optimization
  • Monitor inventory levels and collaborate with planning teams to optimize safety stock, reducing capital tied up and storage costs.
  • Analyze price trends of materials and recommend adjustments to procurement strategies to mitigate cost risks.
5. Data Management and Reporting
  • Maintain procurement data, regularly updating price databases, supplier records, and contract files.
  • Prepare reports such as procurement cost analysis and supplier performance reviews to support management decision‑making.
6. Cross-functional Collaboration
  • Work closely with production, finance, quality, and other departments to align procurement plans with cost objectives.
  • Participate in new product development, providing input on cost optimization and supplier selection from a procurement perspective.
7. Compliance and Process Improvement
  • Adhere to company procurement policies and compliance requirements, ensuring transparent and fair processes.
  • Continuously improve procurement procedures and propose feasible solutions to enhance efficiency and reduce costs.
