Overview

We are seeking a highly organized and proactive Personal Assistant / Executive Assistant to provide full administrative and executive support to the Executive Chairman (EC) of GD Holdings. The PA / EA to the Executive Chairman provides comprehensive administrative, operational, and personal support to ensure the Chairman’s business and personal commitments run smoothly. The PA will act as the primary point of contact for scheduling, guest management, and logistical coordination, while also overseeing support matters such as drivers and company vehicles.

Key Responsibilities
  • Manage and maintain the Executive Chairman’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Accompany the Chairman to appointments, business functions, and meetings, ensuring all preparations and materials are ready.
  • Communicate, host, and correspond fluently in both English and Chinese, particularly when attending to China guests and business partners.
  • Assist with guest management: receiving visitors, coordinating hospitality, and arranging meal bookings.
  • Handle personal and business errands as required.
  • Arrange driver schedules, coordinate submission of OT claims, Shell Card usage, and other driver-related administrative tasks.
  • Oversee company vehicles’ maintenance, service schedules, insurance, and repairs.
  • Provide backup driving support when drivers are unavailable.
  • Assist with reception and guest hosting at the company clubhouse.
  • Liaise with internal departments and external stakeholders on behalf of the Chairman.
  • Perform other ad-hoc duties as assigned by the Chairman.
Requirements
  • Strong sense of responsibility, discipline, and ability to work independently.
  • Fluent in both written and spoken English and Chinese (Mandarin), able to handle China guests professionally.
  • Excellent communication and interpersonal skills with a strong service mindset.
  • Good organizational and multitasking abilities with attention to detail.
  • Possess a valid driving license with a good driving record.
  • Flexible and adaptable, able to support irregular hours and ad-hoc duties.
  • Knowledge of basic administrative processes related to drivers and vehicles is an added advantage.
  • High level of discretion and professionalism in handling confidential information.
