Personal Assistant / Executive Assistant to Managing Director

Key Responsibilities
Executive Support
- Provide full executive support to the Managing Director, including calendar management, meetings, travel, and confidential correspondence.
- Prepare agendas, take minutes, track decisions, and ensure timely follow‑up on all action items.
- Support problem‑solving and crisis management on behalf of the Managing Director.
- Assist with ad hoc tasks and special projects assigned by the Managing Director.
Business Coordination
- Coordinate with key teams (e.g. marketing, operations, customer service, warehouse, finance) to keep the Managing Director updated on business and e‑commerce performance.
- Optimise and implement more efficient processes, workflows, and SOPs across departments.
Communication & Stakeholder Management
- Act as a liaison between the Managing Director and other departments to ensure clear and effective communication.
- Coordinate with internal and external stakeholders, including partners, vendors, and key clients, on behalf of the Managing Director.
Administrative & Personal Support
- Organise and maintain proper digital and physical filing of documents, records, and confidential information.
Requirements (What We’re Looking For)
- Diploma / Degree in Business Administration, Management, Secretarial Studies or related field.
- Minimum 1 year experience as a Personal Assistant / Executive Assistant, preferably supporting senior management.
- Strong organisational and time management skills with the ability to multitask and work under pressure.
- Excellent communication and interpersonal skills, with the confidence to interact with all levels of the organisation.
- Exceptional attention to detail and a high level of accuracy in work.
- Ability to work independently with minimal supervision and take initiative in solving problems.
- High level of discretion and confidentiality when handling sensitive information.
- Good command of English and Bahasa Malaysia (both written and spoken); Mandarin is a plus.
- Proactive, resourceful and adaptable in a fast‑paced working environment.
- Willing to occasionally work beyond normal office hours when required.
