Job summary

A leading company in the region is seeking an experienced payroll specialist to manage payroll processing and HRIS for multiple countries. The successful candidate will ensure accurate payroll handling, maintain employee data integrity, and provide support to HR functions. With a degree in a relevant field and at least 2 years of experience, candidates should be meticulous and possess strong analytical and organisational skills. Familiarity with regional payroll processing is advantageous.

Job description

We are seeking someone who will play a vital role in managing both payroll processing and the Human Resources Information System (HRIS) for the entire region (Singapore, Malaysia, Thailand, Philippines, Indonesia & Vietnam).

You will be responsible for ensuring accurate and timely payroll processing, maintaining employee data integrity within the HRIS, and providing support to HR and payroll functions. The successful candidate should possess strong attention to detail, analytical skills, and proficiency in HRIS software and payroll systems.

What you will do:
Payroll Processing
  • Validate attendance, leave, and other payroll inputs.
  • Calculate salaries, deductions, and statutory withholdings.
  • Process monthly payroll across MY, SG, ID, TH, PH, and VN.
  • Submit statutory contributions (i.e. EPF, SOCSO, EIS, PCB, HRDF, CPF, IRAS) on time.
  • Review and file accurate tax reports and returns.
  • Maintain payroll records, approvals, and SOPs.
  • Resolve payroll issues and respond to queries promptly.
Claims & Overtime Administration
  • Administer employee benefit claims and reimbursements in accordance with company policies.
  • Review and verify claims and overtime submissions for accuracy and compliance.
  • Ensure timely processing of claims and off-in-lieu crediting.
  • Maintain accurate records and documentation of all claims and overtime activities.
  • Address employee queries related to claims and overtime promptly and professionally.
HRIS Management
  • Maintain and update employee records in the HRIS, ensuring data accuracy across all countries.
  • Perform profile creation for new hires, update leavers, and employee life cycle changes.
  • Keep all employee information and payroll data up to date in the system.
  • Support system enhancements, configuration updates, and user training.
  • Provide first-level support for HRIS-related queries from regional users.
Process Improvement
  • Identify opportunities to streamline and automate payroll and HRIS processes.
  • Support HRIS improvement by performing detailed testing and proactively identifying areas for technical and software enhancement in collaboration with the Tech team.
  • Work closely with and support other HR teams to ensure alignment and smooth operations.
  • Liaise with internal stakeholders (HR, Finance, IT) and external payroll vendors to facilitate seamless payroll management.
  • Provide responsive, service-oriented support to employee queries related to payroll, claims, and HRIS.
HR Operations
  • Support day-to-day HR administrative functions such as employee engagement support, onboarding, and offboarding processes.
  • Application and issuance of building security pass.
  • Maintain employee records and ensure compliance with data protection regulations.
  • Undertake any other ad-hoc assignments as required.
The successful candidate should have:
  • At least 2 years of experience as an in-house payroll specialist or in a similar capacity.
  • Bachelor's degree in accounting, finance, business administration, or related field.
  • Ability to handle sensitive and confidential information with discretion is a must.
  • Strong understanding of payroll principles, practices, and regulations.
  • Familiarity in processing regional payroll (particularly Singapore) will be an added advantage.
  • Meticulous with excellent attention to detail and accuracy.
  • Strong organisational and time management skills.
