Parent Relations Manager – Regional Office
Role Scope & Responsibilities
Role Purpose

The Parent Relations Manager (PRM), based at the Regional Office, serves as the central liaison between parents and Beaconhouse Malaysia to strengthen communication flow, ensure timely resolution of concerns, and support continuous improvement. The PRM is responsible for receiving, recording, coordinating, and resolving parental concerns that reach the Regional Office directly or are escalated from the school level under the Parent Communication and Feedback Policy. In this role, the PRM upholds transparent, fair, and consistent communication practices, ensuring that every concern is managed professionally and in alignment with Beaconhouse Malaysia’s communication standards, safeguarding commitments and school policies. Through constructive engagement and analysis of recurring feedback trends, the PRM also contributes to improving parent experience, enhancing school processes, and supporting stronger parent–school partnerships across all campuses.

Key Scope of Work
Receiving & Managing Parent Concerns

Receives all concerns sent directly to the Regional Office, Written requests forwarded by school principals, Stage 4 appeals submitted after school-level resolution.

Manages cases that

Parents escalated due to dissatisfaction with school responses, Schools refer directly to the Regional Office (safeguarding, compliance, high-risk matters), Require regional-level oversight for transparency and fairness, Ensures communication follows official channels as outlined in the Parent Communication Policy.

Speaking With and Meeting Parents

Contact parents directly to: Clarify concerns, Request additional information or supporting evidence, Discuss progress and possible resolutions, Meet parents (virtually or in person) when required, based on the nature and complexity of the case, Schedules and conducts meetings professionally, ensuring documentation is complete and aligned with policy expectations.

Recording & Documentation

Maintains a central Regional Concern Register in BEAMS360 for all cases received or escalated.

Ensures complete documentation, including

Parent details, Summary of concern, Supporting evidence provided, School’s previous responses (if applicable), Actions taken at the regional level, Final outcome and closure notes and ensures accurate record‑keeping for audit, reporting, and policy review.

Serves as the BOI (Board of Inquiry) in consultation with HR department.

Coordinates with school principals, administrators, teachers, or section heads to gather required information.

Consults relevant HODs at the regional office to ensure policy implementation and relevant guidance to parents.

Coordinates with Need‑Based Specialists (Board of Inquiry): Engages specific internal or external experts (e.g., Legal Counsel, Child Protection Officer, Subject Matter Expert) on a case‑by‑case basis to provide specialized and objective review as required by the nature and complexity of the concern.

Reviews concerns fairly and objectively, ensuring transparency and consistency with Beaconhouse policies.

Provides written responses to parents within the timeline standards.

Coordination with School Teams

Collaborates closely with: School Heads/Principals, School Administrators, Relevant section heads or teachers involved in the concerned.

Ensures schools submit requested documentation, evidence, and details promptly.

Guides schools on consistent implementation of the Parent Communication Policy.

Supports school teams in improving communication quality, documentation standards, and timely resolutions.

Reporting Line

Reports directly to the Regional Head of Education (SEA)

Consults with: Regional Education Team (for academic‑related concerns), Regional Operations (for facilities, safety, or administrative matters), School Principal/ Teams (for school‑related concerns, collect evidence, etc.)

Serves as the single point of contact for parent escalations at the Regional Office.

Additional Responsibilities

Ensures prompt acknowledgement of concerns and clear communication throughout the review process.

Provides parents with guidance on submitting appropriate supporting evidence to enable a fair review.

Identifies recurring themes or systemic issues and provides recommendations to the Regional Director.

Supports training of school administrative staff in communication and documentation protocols.

Prepares monthly/quarterly summary reports of parental concerns, outcomes, and trends for leadership review.

Any other task or project as assigned by the Management from time to time.
