About Us

We are a passionate wine distributor dedicated to bringing wines from around the world to dealers and retailers. With a growing portfolio and expanding sales team, we are looking for an organized and proactive Order Processing Assistant to support our sales operations.

Role Overview

As an Order Processing Assistant (Sales Support), you will play a key role in ensuring smooth and accurate handling of daily orders. You will work closely with our sales team, warehouse, and customers to coordinate deliveries, prepare documents, and ensure exceptional service.

Key Responsibilities
Order Processing & Coordination
  • Process customer orders accurately in the system and coordinate with relevant teams
  • Prepare invoices, delivery orders, packing lists, and related documentation
  • Follow up with logistics/warehouse teams to ensure timely deliveries
  • Assist in resolving order discrepancies or customer queries
  • Support the sales team with quotations and product details when needed
Inventory & Stock Planning
  • Monitor stock levels regularly to ensure availability of key products
  • Update and maintain accurate inventory records in the system
  • Coordinate with suppliers on stock replenishment
  • Assist in forecasting inventory needs based on sales trends and order patterns
  • Highlight low-stock items, slow-moving products, and potential shortages to the team
  • Participate in stock counts activities
Administrative Support
  • Maintain customer and order records
  • Prepare reports for sales and inventory tracking
  • Handle filing, data entry, and general office administrative duties
  • Provide support for ad-hoc tasks assigned by supervisors or management
Requirements
  • GCE “O” Level / Diploma or equivalent
  • Experience in order processing, sales coordination, or admin roles is an advantage
  • Knowledge of wines or F&B industry is a plus (training provided if needed)
  • Proficient in Microsoft Office (especially Excel), and ABSS system are preferably
  • Strong communication, organisation, and multitasking skills
  • Detail-oriented, reliable, and able to work independently
  • Positive attitude and good team player
