Overview

The Office Services Assistant plays a key role in supporting the effective day-to-day operation of the Corporate Office and Central Laboratory. This position provides a mix of office services, event coordination, employee experience support, and general administration, ensuring a professional, welcoming, and well-organised workplace. This role offers exposure beyond traditional office administration, with opportunities to support regional activities, collaborate with overseas colleagues, and contribute to employee experience initiatives and corporate events across multiple locations.

Office Management & General Administration (Primary Focus)
  • Act as the first point of contact for employees, visitors and stakeholders, providing professional and welcoming experience.
  • Support the smooth daily operation of the Corporate Office and Central Laboratory.
  • Coordinate office and laboratory maintenance, including liaising with building management, tradespersons and service providers.
  • Manage access passes, visitor registrations, deliveries, couriers and mail distribution.
  • Organise meeting rooms, office facilities and shared spaces to maintain presentation standards.
  • Monitor and manage stationery, office supplies and pantry stock levels.
  • Provide general administrative support to the business as required.
  • Maintain basic records, documentation and internal coordination activities.
Travel & Logistics Administration
  • Support business travel arrangements, including accommodation and transport bookings.
  • Assist with administration of the company travel system and liaison with travel providers.
  • Support resolution of travel-related issues as required.
Limited Event & Engagement Support (Secondary Focus)
  • Provide administrative and logistical support for approved meetings, training sessions and site visits.
  • Assist with coordination of approved internal events when required.
  • Provide onsite support for meetings or activities as needed.

  • Event & Engagement Support – Responsible for coordinating employee experience events and managing social functions for the two locations.
  • Provide support for health and wellness programs and other company wide programs in Malaysia.
