Job description

The position serves as a central communicator for doctors and employees, ensuring that the doctors’ roster is accurately maintained, updated, and aligned with operational needs. As the primary point of contact for roster-related matters, the Medical Affairs Executive is responsible for coordinating changes, managing requests, and supporting a fair and transparent scheduling process.

While individual doctors’ preferences, personal commitments, leave, and training needs are prioritised where possible, roster planning must also balance business requirements to ensure effective outlet operations. Therefore, not all requests may be accommodated, but every decision should be made with fairness, professionalism, and organisational interests in mind.

This position acts as an important function in strengthening communication, collaboration, and continuity between doctors, Medical Directors, leadership, and other departments.

Job Responsibilities
  • Manage and coordinate doctors’ rosters across all business units, including schedule changes, replacements, and operational planning support.
  • Serve as the communication bridge for doctors and Medical Affairs via the Dr. Robot Business WhatsApp account, maintaining professional and timely communication.
  • Review and process doctors’ and medical team claims, ensuring accuracy, proper documentation, and timely submission to Finance.
  • Maintain accurate leave management for Medical Teams, including leave tracking, approval documentation, and monthly reporting updates.
  • Support day-to-day administrative work including document filing, office snack & beverage replenishment, and courier/postage arrangements.
  • Plan and coordinate internal/external doctor workshops, trainings, and medical team events alongside facilitators or suppliers when required.
  • Conduct onboarding and orientation for new colleagues, ensuring smooth integration into the Medical Affairs department.
  • Build positive collaboration with cross-functional teams and departments, reporting concerns or roster anomalies to Medical Leaders when needed.
  • Develop and maintain a professional relationship with all department HOD, doctors and colleagues.

  • Good command of written and spoken English is required; the ability to speak and write in Chinese is an added advantage.
  • Own transportation is preferred, with flexibility to travel occasionally based on operational needs.
