Manager, Administration & Human Resources Department

We are seeking a talented and driven Manager to join our dynamic Administration and Human Resources Department within the retail environment. This full‑time role will be based at our Kuala Lumpur head office, with regular engagement across retail outlets. The role plays a key part in supporting business growth by ensuring effective people management, workforce planning, and retail operational support.

Responsibilities
  • Oversee day‑to‑day Administration and Human Resources operations to support retail outlets and head office functions.
  • Develop, implement, and enforce HR policies and procedures aligned with retail operations, including attendance, shift scheduling, discipline, and performance management.
  • Manage end‑to‑end recruitment for retail positions (store managers, supervisors, sales associates) including manpower planning, high‑volume hiring, onboarding, and induction.
  • Oversee employee records, payroll coordination, benefits administration, and shift‑based workforce management in compliance with company policies.
  • Support training and development initiatives focused on customer service excellence, sales performance, and retail operations standards.
  • Coordinate and facilitate employee engagement activities to improve staff retention, morale, and productivity across retail outlets.
  • Act as a key advisor to retail managers and supervisors on HR matters such as employee relations, disciplinary issues, grievances, and performance improvement.
  • Ensure compliance with Malaysian employment laws, including labour regulations relevant to retail operations (working hours, overtime, rest days, and statutory requirements).
  • Continuously review and improve HR and administrative processes to enhance employee experience, operational efficiency, and business performance in a fast‑paced retail environment.
Qualifications
  • Bachelor’s Degree in Human Resources, Business Management, Retail Management, or a related field.
Experience
  • Minimum 4 years of experience in HR or Administration, preferably within the retail, F&B, hospitality, or service industry.
  • Experience managing frontline employees, shift work, and multi‑location operations will be an added advantage.
Skills & Knowledge
  • Strong knowledge of Malaysian employment laws and HR best practices.
  • Excellent communication, presentation and management skills.
  • Digitally savvy and proficient in Microsoft Office and related tools.
  • Proficient in the use of HR‑related software and technology.
  • Strong problem‑solving, decision‑making, and conflict resolution skills in a high‑pressure retail environment.
  • Demonstrates strong leadership with the ability to collaborate effectively with retail and corporate teams.
