Job description
Responsibilities
  1. Front Desk & Visitor Management
    • Greet visitors and manage front desk operations
    • Answer phone calls, handle emails, and route correspondence appropriately
  2. Office Management
    • Maintain cleanliness and organisation of the office
    • Monitor and restock office equipment and supplies
  3. Scheduling & Coordination
    • Manage calendars, schedule meetings, appointments, and calls for lawyers
    • Coordinate travel arrangements and accommodations for firm representatives
  4. Documentation & Filing
    • Maintain and organise physical and digital files
    • Ensure accurate record-keeping and document control systems
  5. Correspondence & Document Preparation
    • Draft and prepare letters, memos, reports, and other business documents
  6. Data Entry & Records Management
    • Accurately input and update internal data
    • Maintain records of administrative tasks and activities
  7. Vendor & Supplier Coordination
    • Liaise with vendors and suppliers for orders and timely deliveries
  8. Basic Finance & Claims Handling
    • Process invoices, track expenses, and handle petty cash and reimbursement claims
  9. Management Support
    • Provide administrative support to management
  10. Ad Hoc Tasks
    • Carry out any other administrative or operational duties as required
Qualifications and Requirements
  • Able to work independently with minimal supervision and also collaborate effectively in a team
  • Capable of working under pressure and managing tight deadlines
  • Strong command of English and Malay (emphasis), both written and spoken
  • Proficient and tech‑savvy in Microsoft Office (Outlook, Word, Excel), Teams, Zoom, Google Meet, and WhatsApp
  • Strong organisational and time‑management skills with consistency and orderliness
  • Excellent attention to detail; able to multitask and prioritise workload efficiently
  • Willingness to continuously learn, reskill, and upskill
  • High sense of responsibility and accountability in handling tasks
  • Ability to maintain a positive, professional, and productive work environment
  • Prior experience in a legal firm will be an added advantage
Salary and Benefits

Salary: RM3,000.00 (subject to experience and qualifications)
