Job summary

A leading industrial firm in Puchong is seeking an office administrator to manage phone calls, resolve support issues, and assist with legal documentation. The role requires a minimum of SPM qualification or diploma, proficiency in Microsoft applications, and fluency in English and Bahasa Melayu. Ideal candidates should be detail-oriented and able to organize office documentation and invoicing processes efficiently.

Qualifications

  • Minimum SPM qualification. Fresh graduates with a Diploma in any related field are welcome to apply.
  • Experience in handling job documentation.
  • Must be PC literate and proficient in Microsoft applications (MS Word, MS Excel).

Responsibilities

  • Attending unanswered phone calls for the whole department.
  • Resolve 1 level support issue from phone calls.
  • Maintain a central record for all requests for legal assistance.
  • Handle office invoicing and update all office payments.
  • Organize and update closed files for external archive storage.

Job Responsibilities
  • Attending unanswered phone calls for whole department.
  • Resolve 1 level support issue from phone calls.
  • Deliver messages to the intended colleagues and HOD.
  • Recording new instructions from business units.
  • Maintain a central record for all requests for legal assistance from business units.
  • Managing incoming and outgoing correspondences.
  • Sorting and distributing incoming mail and organise outgoing mail for delivery.
  • Maintain records for contract repository.
  • Organizing all original contracts and agreement for safekeeping.
  • Organizing and updating closed files, and arranging for external archive storage.
  • General office administration.
  • Assists colleagues and HOD to ensure smooth running of the dept.
  • Handle office invoicing.
  • Update all office payment and maintaining record of all invoices.
  • AX entry (Journal Invoice) to process third party and vendor invoices.
  • Managing payments of legal fees for legacy, on-going and new cases.
  • Arrange internal approvals for payment of all legal and consultant fees.
  • Monitor and updating such payments on a monthly basis.
Job Requirements
