The Learning & Development Executive plays a pivotal operational role in bringing the company’s capability-building agenda to life. As a key enabler to the Learning & Development Manager, you will drive the planning, coordination, and seamless execution of learning initiatives across retail outlets, distribution centers, and the head office. You will champion structured onboarding, maintain accurate training governance, and support the roll-out of learning programs that elevate workforce performance, customer service quality, and operational consistency across the business. Key Responsibilities
- Training Coordination, Design & Delivery
- Collaborate with department leaders to identify skills gaps and training priorities through structured needs analysis.
- Assist in designing and developing learning content, including SOP-aligned materials, facilitator guides, e-learning modules, microlearning content, and blended learning assets.
- Deliver training sessions (orientation, soft skills, refresher programs, new project rollouts) and coordinate subject matter experts or external vendors when required.
- Track and evaluate program effectiveness through post-training assessments and prepare insights-driven reports for management.
- Support LMS content updates (if applicable) and ensure learning materials remain current and relevant.
- End-to-End Onboarding Experience
- Facilitate onboarding for new joiners at head office and outlets (when required), ensuring consistent experience aligned with company culture and standards.
- Coordinate Day 30 and Day 60 follow-ups with Outlet Managers and functional leaders to ensure timely completion of induction activities.
- Maintain complete onboarding documentation, sign-off sheets, and feedback forms for audit readiness.
- Training Administration, Budget & Compliance
- Manage training logistics, including scheduling, venue arrangements, trainer coordination, and material preparation.
- Handle documentation for HRDC claimable programs and liaise with government agencies on grants and training incentives.
- Support L&D budget monitoring by tracking training costs, vendor invoices, and spend against plan.
- Maintain meticulous training records using spreadsheets, shared folders, and manual tracking tools.
- Produce monthly training dashboards and summaries for leadership reporting.
- Learning Materials & SOP Support
- Assist with developing, refining, and translating SOPs, checklists, visual aids, and reference materials (BM & English).
- Coordinate timely distribution of updated learning documents and onboarding packs to all outlets and DCs.
- Ensure all stores are equipped with accurate, current, and accessible L&D materials.
- Work-Based Learning (WBL) Student Support & Engagement
- Support the Learning & Development Manager in coordinating WBL programs across stores and warehouses.
- Conduct onboarding briefings, expectations-setting, and store introductions for WBL students.
- Track student placements, daily tasks, learning progress, and competency completion.
- Maintain consistent communication with store mentors and supervisors to monitor student performance and address concerns quickly.
- Conduct periodic check-ins with students to ensure a positive learning experience and resolve any field-related challenges.
- Collect evaluation forms, attendance records, and competency assessments for end-of-placement filing.
- Prepare consolidated end-of-program reports for the L&D Manager and academic partners.
- Employee Engagement, Culture & Campaign Activation
- Partner with the L&D Manager to execute learning campaigns (Safety Month, Clean Week, Customer Service enhancements, etc.).
- Drive engagement by recognizing high-performing learners, teams, and outlets with appreciation tools and certificates.
- Reinforce company core values by supporting store huddles, culture scripts, and floor communication materials.
Minimum Qualifications & Experience
- Diploma / Degree in Human Resources, Business Administration, Psychology, Education, or related fields.
- 2–4 years of experience in Learning & Development, HR, or talent management (preferably in retail, FMCG, or service environments).
- Strong collaboration skills, with the ability to partner effectively with cross-functional teams, store leaders, and operational stakeholders.
- Highly independent in organizing and prioritizing tasks, with strong ownership and follow-through in a fast-paced environment.
- Strong planning, coordination, and stakeholder-management skills with meticulous attention to detail.
