Job summary

A manufacturing company in Johor, Malaysia is seeking a Human Resources and Administration Executive to manage foreign worker processes and compliance. Job description
Responsibilities
  • Coordinate & liaise with Recruitment Agency for the arrangement of arrival new foreign workers (documentations, schedule, transportation, accommodation and etc).
  • Apply for SKHPPA insurance and IG online through the selected insurance provider in accordance with FWCMS requirement before to submit the calling visa (VDR) application.
  • Prepare application & arrangement of the FOMEMA medical examination at the designated FOMEMA panel clinic.
  • Apply for the PLKS (Employment Permit) through the Immigration Department, and obtain the employment pass to be attached to the foreign workers' passports.
  • Prepare the new foreign worker's personal file, including the job application, online medical report, and passport copy, prior to their arrival.
  • Coordinate foreign workers' holiday applications and communicate with the agent to arrange dates, including air ticket bookings, in accordance with company procedures and guidelines.
  • To update workers/employees’ information/data regarding the recruitment, transfer, termination, or resignation of foreign workers and ensure the relevant HOD/Superior/Senior is informed.
  • Supervise foreign worker discipline, attendance, manpower headcount, and accident-related matters.
  • Manage foreign worker grievances by seeking advice from senior staff, following company policies, conducting investigations, and implementing corrective actions. This includes issuing warning letters and ensuring compliance with company rules and regulations.
  • Coordinates with branch PIC & production teams related to foreign workers matters.
  • Occupational Safety and Health (OSH) – Assist in facilitate OSH meetings, ensuring discussions are focused and productive.
  • To investigate any accident, near-miss accident, dangerous occurrence, occupational poisoning or occupational disease at workplace for foreign worker and to update to the Senior/Superior.
  • Maintain and update OSH documentation and records.
  • Strategic HR Support – Collaborate closely with the HOD/Superior to design and execute HR strategies.
  • Liaise with and support all departments on HR administrative matters by completing the necessary forms, reports, logs, and records related to foreign workers.
