What You’ll Do

As a Junior Executive Assistant supporting our executive and business operations, you will play a critical role in enabling smooth workflows, effective coordination, and a positive experience for both leaders and cross-functional teams. You will help streamline processes, manage key administrative activities, and facilitate communications to ensure productivity and alignment across the business. This role requires exceptional organization, strong judgment, and the ability to anticipate needs in a fast-paced environment.

  • Offering full secretarial assistance to multiple senior executives
  • Providing extensive diary management and coordination across the population
  • Organizing meetings and client meetings and assisting with agenda and acting as the point of contact for internal/external stakeholders requiring time
  • Travel arrangements including but not limited to flight & hotel bookings, transfers, visa coordination, and other local requirements
  • Manage business expenses, personal invoices, bill payments and insurance reimbursements
  • Coordinate reservations, meals, and appointments when needed
  • Support daily operational errands and ad-hoc requests
  • Assist in preparing business documents, presentations, reports, and other materials as needed
  • Ensure smooth executive workflow through proactive follow-ups and task tracking
What You’ll Need
  • Minimum 3 years of relevant experience supporting senior management and teams, or in a similar administrative role.
  • Proven experience supporting senior leadership with scheduling, travel planning, and general administration
  • Ability to maintain strict confidentiality and manage sensitive information
  • Strong command of written and spoken English and Mandarin
  • “Can-do” attitude with high self-motivation and independence
  • Ability to multitask, manage competing priorities, and stay organized under pressure
  • Professional communication and strong stakeholder engagement skills
  • Detail-oriented, resourceful, and proactive in anticipating needs
  • Ability to handle tight schedules, last-minute changes, and fast-moving environments
  • Ability to thrive in a high-growth, fast-paced, and demanding tech services environment.
  • Able to work independently with strong follow-through in a dynamic setting.
  • Willingness to perform additional duties as assigned.
