Job Overview - Inventory & Admin Executive

We are seeking a detail-oriented and proactive Inventory & Admin Executive to support our daily operations. The ideal candidate will handle inventory control tasks, intercompany stock coordination, stock transfer accuracy, administrative duties, and basic accounts support. This role also includes assisting with e-commerce operations and providing general support to the management team.

Key Responsibilities
  • Maintain accurate stock records and update inventory systems in a timely manner.
  • Prepare and consolidate intercompany stock reports.
  • Handle stock transfers, ensuring accuracy and proper documentation.
  • Perform regular stock reconciliations, investigate discrepancies, and follow up on corrective actions.
  • Assist in cycle counts and annual stocktake activities if necessary.
  • Monitor stock levels to ensure an adequate supply and flag low/reorder situations.
Administrative & Accounts Support
  • Provide general administrative support to the Admin and Accounts departments.
  • Coordinate with internal teams and external vendors on administrative matters.
  • Support management or superiors with ad-hoc tasks and operational requirements.
  • Assist in process improvement initiatives to enhance efficiency in inventory and admin workflows.
  • Ensure compliance with company policies and maintain proper documentation.
Requirements
  • Diploma or certificate in Business Administration, Supply Chain, Accounting, or related fields.
  • At least 1–2 years of experience in inventory, administrative, or accounts support roles (fresh graduates are welcome to apply).
  • Proficient in MS Office, especially Excel.
  • Experience with inventory or ERP systems is an added advantage.
  • Strong attention to detail and accuracy.
  • Good communication, coordination, and time management skills.
