Human Resources Shared Services Specialist
Purpose Statement

Responsible for the effective execution of the assigned HR Operations process in accordance with the quality delivery and expectations to meet HR Shared Service KPI. Provide guidance and training to entry level of HR operations daily processes. Must be knowledgeable of HR Operations processes, HR systems, company benefits, HR policies, procedures and programs.

Key Job Accountabilities
  • Review and audit HR transactions relating to workers' life cycle or employment job changes (e.g., hires, terminations, transfers, promotion, etc). Execute HR transactions relating to mass organization changes. Work with COE or other function in upgrading the HR system. Responsible to transition the system and business process setup for system enhancement relating to workers' life cycle to HR Shared Services Tier 1. Troubleshoot and provide solutions from HR Shared Services Tier 1 pertaining to worker's life cycle or employment job changes. Support the team on employees' attendance validation process and resolve issues to enable payroll to be paid on time every time
  • Maintains comprehensive knowledge of Company benefit programs, plans, policies, and processes in order to professionally advise employees on C&B programs eligibility and ensure timely administration of C&B programs in accordance with policies. Responsible to update the merit increment or promotion exercise in Workday per guidelines and timeline. Ensure C&B operation transactions are process timely and accordance to policy
  • Responsible to consolidate all payments and deductions for payroll to process timely and accurately. Responsible to prepare payroll reconciliation after each payroll cycle. Review and improve on HR processes, systems and policies to achieve efficiency and effectiveness to support management and employees needs
  • Responsible for accurate and punctual update of site workers data records change, update and maintenance. This will include but not limited to worker change or transfer, data update, record upkeep and amendments. Provide reports to stakeholders for insight, reviews and audits.
  • Provide guidance and training to entry/junior level
Education/Experience Qualifications
  • Bachelor Degree or Diploma/ Professional Certificate in relevant field of study
  • 2 to 4 years of relevant experience
Other Qualifications
  • Ability to communicate in English and National Language. Proficiency in additional language maybe required depending on country of support.
  • Strong communication and customer service oriented with the ability to work under pressure to meet datelines
  • Strong process management skills with analytical and problem-solving capability for complex tasks.
  • Experience with HR Cloud Systems highly desirable, preferably Workday and Ignite
  • Advanced Google Workspace or Microsoft Excel skills preferred
Physical Requirements
  • Professional office environment with suitable lighting, comfortable temperatures, and low noise level. May require prolonged periods of sitting at a desk, using a computer, and other office equipment. Minimal physical activity is generally involved, emphasizing the importance of good posture and ergonomic workplace arrangements.
