A company in the nutraceuticals industry located in Kuala Lumpur seeks an HR Executive to oversee the recruitment cycle, manage payroll, and ensure compliance with labor laws. The ideal candidate will have at least 3 years of HR experience, proficient in performance management and employee relations, and be capable of organizing company events. The role is dynamic, requiring engagement with both staff and management to maintain a positive workplace culture.

Manage the full cycle of recruitment, including job postings, screening, interviews, and job offers.
Prepare appointment letters and related employment documents.
Coordinate onboarding and orientation programs for new hires.
Maintain and update employee personal files and HR databases in a systematic and confidential manner.
Prepare HR-related letters such as confirmation, warning, and disciplinary notices.
Manage attendance, leave records, and employee time-off requests.
Assist in the execution of annual performance appraisal processes.
Collaborate with Manager/Director to set and review Key Performance Indicators (KPIs) for employees.
Ensure performance records are accurately maintained.
Prepare reports on performance evaluations and recommend training needs.
Compile and update payroll-related data including allowances, claims, overtime, and deductions.
Ensure compliance with statutory requirements (EPF, SOCSO, EIS, PCB, etc.).
Liaise with relevant government agencies (EPF, PERKESO, LHDN, HRD Corp, Zakat authorities, and others) to resolve issues, ensure timely submissions, and maintain compliance.
Administer employee benefits, leave without pay, and staff welfare programs.
Ensure company policies comply with the Employment Act 1955 and other applicable labor laws.
Act as the primary point contact between employer and employees on HR-related matters.
Assist in handling disciplinary cases, grievances, and investigations.
Provide guidance to employees on HR policies and workplace matters.
Identify training needs and coordinate internal and external training programs.
Maintain training participation records and evaluate training effectiveness.
Manage the HRD Corp system (e-TRiS) for training grant applications and claims submission.
Ensure all training programs comply with HRD Corp guidelines and company requirements.
Act as a HR business partner to both the main company and subsidiary companies under the same Director.
Provide HR shared services support, including recruitment, payroll coordination, employee relations, compliance, and training across all entities.
Ensure consistency in HR policies, procedures, and employee management within the group of companies.
Coordinate with subsidiary management teams to address HR matters and align with group strategies.
Plan, coordinate, and manage company events and activities such as annual dinners, festive celebrations, team building, employee engagement programs, or CSR activities.
Liaise with vendors, venues, and service providers to ensure smooth execution of events.
Monitor budget allocations and ensure cost-effective event management.
Prepare post-event reports and feedback to improve future activities.
Monitor and restock office and pantry supplies (stationery, paper, beverages, etc.).
Coordinate with vendors and suppliers for procurement and cost control.
Prepare monthly reports on office expenses.
Manage tenancy agreements and renewals for factory and hostels.
Oversee hostel access cards, Wi-Fi, mobile lines, and utilities renewals.
Ensure office equipment (printers, PCs, air-conditioning) is maintained.
Record and manage asset handovers (SIM cards, phones, laptops, access cards) with proper documentation and retrieval upon exit.
Draft and prepare meeting minutes, official letters, and internal memos when required.
Oversee office housekeeping and routine maintenance.
Act as the liaison between the company and external parties including authorities, landlords, contractors, vendors, and service providers.
To perform any other job-related or ad-hoc duties as assigned by Supervisor/Manager/Director to achieve cost-efficiency and cost-effective operations.
