Job Summary:

We are seeking a highly organized and detail-oriented HR Operations Specialist to support our HR operations for the EU region. The role involves managing employee data, payroll processing, attendance tracking, and onboarding coordination while ensuring compliance with company and statutory requirements.

The ideal candidate is someone proactive, dependable, and able to work independently while collaborating closely with the Regional HR Lead and EU HR & Admin Executive. This position is based in Malaysia and offers flexibility in work hours, with a preference for candidates who can align with EU/UK time zones.

Responsibilities:
  • Maintain and update the HR Master Sheet
  • Consolidate and verify timesheets by location, ensuring data accuracy.
  • Maintain and track Purchase Orders (POs) and corresponding service agreements.
  • Monitor and report daily attendance, including leave and tardiness records, for management review.
  • Manage employee onboarding processes, including joining formalities and induction training.
  • Provide payroll inputs to Finance and coordinate with the team on invoice processing.
  • Maintain HR system and databases, ensuring data accuracy and compliance with company standards.
  • Address employee queries regarding HR policies, payroll, and attendance.
  • Support HR operations projects, documentation, and process improvement initiatives as assigned.
Qualifications:
  • Bachelors degree in Human Resource Management, Business Administration, or related field.
  • Minimum of 2-4 years of experience in HR operations, payroll processing, or related HR functions.
  • Strong understanding of payroll systems, timekeeping, and statutory compliance.
  • Proficiency in MS Excel and experience with HRIS or payroll software.
  • Excellent organizational skills with high attention to detail and accuracy.
  • Strong communication skills and ability to collaborate effectively across regions.
  • Proven ability to handle sensitive and confidential information with discretion.
Preferred Qualifications
  • Experience supporting international teams, especially within the EU or UK.
  • Familiarity with client-based or multi-location HR operations.
  • Exposure to audit or compliance documentation related to payroll and HR.
