Job summary

A leading manufacturing company is seeking an HR Executive located in Kulai, Malaysia, to manage full-cycle recruitment, onboarding, and offboarding. The ideal candidate should possess a diploma or degree in HR or a related field and have a minimum of 2–3 years experience in HR operations. Strong communication skills and proficiency in HR documentation and systems are crucial. WHAT YOU NEED TO DO?
HR EXECUTIVE – JOB RESPONSIBILITIES
  1. Recruitment (Detailed)
    • Coordinate full‑cycle recruitment for all local and foreign positions.
    • Prepare job postings, review applications, shortlist candidates, and arrange interviews.
    • Conduct initial screening interviews and coordinate with Hiring Managers for final selection.
    • Prepare offer letters, employment contracts, and ensure all hiring documents are complete.
    • Liaise with recruitment agencies when necessary (local & foreign).
    • Maintain an updated recruitment tracker and ensure timely hiring according to manpower needs.
    • Coordinate medical check‑up, background checks, and reference checks for selected candidates.
  2. Onboarding
    • Prepare all onboarding documents, personal files, and HR forms.
    • Conduct employee orientation on company policies, rules, and benefits.
    • Coordinate with IT/Admin for email creation, access card, tools, PPE, and workstation preparation.
    • Ensure foreign workers are briefed on company SOP, safety rules, hostel rules, and work regulations.
    • Update HR system/HRIS with new employee records.
  3. Offboarding
    • Handle resignation process: acceptance letter, notice period tracking, and exit checklist.
    • Conduct exit interviews and record feedback.
    • Coordinate with Finance for final payment, claims, and deductions.
    • Collect all company assets, tools, uniforms, and access cards.
    • Process employment certificates, termination letters, and update HR system.
    • Manage work permit renewals, check‑out memos, special passes, and visa applications.
    • Handle FWCMS, VDR, calling visa application, and documentation with agencies.
    • Monitor passport validity, permit expiry dates, and maintain updated foreign worker records.
    • Coordinate worker placement, hostel arrangement, transport, and welfare matters.
    • Assist in medical check‑up, FOMEMA, insurance (FWI, FWHS, FWCS).
    • Act as liaison with Immigration, JTK, Klinik Panel, and relevant government bodies.
  4. Attendance & Payroll Support
    • Verify attendance, OT, leave, MC, and lateness records.
    • Handle timesheet checking for foreign & local workers.
  5. Employee Relations & Discipline
    • Handle staff issues, grievances, and counselling sessions.
    • Assist in domestic inquiry (DI) procedures when required.
    • Ensure compliance with company policies and labour laws.
  6. Training & Development
    • Coordinate staff training schedules, induction training, and safety training.
    • Record training attendance and maintain training matrix.
    • Assist in evaluating training effectiveness.
  7. Compliance & HR Policies
    • Ensure HR practices comply with Employment Act, Immigration Act, and Government regulations.
    • Assist in preparing SOPs, HR policies, and improvements to HR processes.
  8. General HR Support
    • Support events such as staff welfare activities, company functions, and CSR programs.
    • Respond to employee enquiries in a timely and professional manner.
    • Perform any other HR‑related tasks assigned by Management.
WHAT YOU NEED TO HAVE?
  • Diploma or Degree in Human Resources, Business Administration or related field.
  • Minimum 2–3 years of experience in HR operations, preferably in a manufacturing or construction environment.
  • Hands‑on experience in recruitment, onboarding, and offboarding processes.
  • Experience in foreign worker management (permit renewal, FOMEMA, passport records, hostel management) is an added advantage.
  • Good knowledge of the Employment Act, IR issues, and HR best practices.
  • Strong skills in attendance checking, OT verification, and HR documentation.
  • Good communication skills in English, Bahasa Malaysia (Mandarin is an advantage).
  • Proficient in MS Office / Excel / HRIS system.
  • Able to handle multiple tasks, meet deadlines, and work with minimum supervision.
  • Strong attention to detail, well‑organised, and disciplined with confidentiality.
  • A good team player with positive attitude and problem‑solving skills.
