HR and Admin Executive role at SJP SEALING TECHNOLOGY (M) SDN BHD. is a full-time position based in Johor Bahru, Johor. You will be responsible for providing comprehensive HR and administrative support to the business, playing a key role in maintaining efficient operations and fostering a positive work culture.

Scope of Work
HR Functions:
- Operate within a Shared Services model to standardize payroll workflows and maintain high service-level agreements (SLAs).
- Ensure all payroll activities align with local statutory requirements (EPF, SOCSO, EIS, PCB) and labor regulations. Act as the primary lead for internal and external payroll audits.
- Prepare HR reports such as movement, headcount, pay summary, cost center allocation and payroll breakdown reports.
- Maintain up-to-date and accurate payroll data and staff information in the Payroll System.
- Provide operational and administrative support.
- Prepare and issue HR letters, memos, and related documents in a timely and accurate manner.
- Track employee benefits including medical claims, leave balances, and attendance records.
- Organize and conduct induction training for all new hires and contract workers to ensure smooth integration into the organization.
- Collaborating with cross-functional teams to ensure smooth business operations.
Admin Functions:
- Oversee the maintenance and proper functioning of office and factory equipment.
- Monitor and replenish office, pantry, and cleaning supplies regularly.
- Coordinate company meetings, events, and travel arrangements for employees.
- Manage incoming and outgoing mail and deliveries.
- Answer and direct phone calls professionally.
Requirements
- Degree/Diploma in Human Resources, or a related field.
- Familiar with relevant provisions of Malaysian Labor Law and capable of independently handling basic HR compliance matters.
- Serve as the subject matter expert for payroll-related queries, resolving employee and management issues professionally and promptly.
- Proficient in using office software (e.g., Microsoft Teams, Word, Excel).
- Fluent in English and Bahasa Malaysia. Other foreign language capability will be advantageous.
- Action-orientated, detail minded and organized.
- Strong administrative coordination capabilities: able to handle multiple tasks simultaneously, allocate time reasonably, and ensure efficient delivery of work.
- High sense of responsibility, strong stress resistance, excellent communication and coordination skills, and empathy; able to patiently address employee inquiries and maintain a harmonious employee relationship and workplace atmosphere.
