Job summary

A manufacturing company in Gelang Patah, Malaysia is looking for an office administrator responsible for various duties including ordering supplies, monitoring compliance with foreign worker legislation, and handling HR tasks such as recruitment and maintaining employee records. The ideal candidate should be proficient in administrative tasks and have a strong attention to detail to ensure smooth operations within the office environment.

Responsibilities

  • Order stationery, cleaning materials, refreshments, and office equipment.
  • Monitor foreign worker legislation and manage passport/permit renewals.
  • Issue medical chits and arrange transportation for foreign workers.
  • Prepare utility reports and check bills for verification.
  • Supervise security guard activities and maintain company policy compliance.
  • Ensure cleanliness of the factory/office by monitoring cleaners.
  • Issue uniforms and safety boots with documentation.
Job description
Responsibilities
  1. Stationery, cleaning material, refreshment & office equipment ordering.
  2. Foreign worker legislation – monitoring passport & permit renewal, FOMEMA (medical check up)
  3. Issuing Medical chit & arranging transportation FW to clinic/hospital & bank
  4. Preparing Utilities report, Digi Bill report, Shell petrol/diesel report, TM report & ect.
  5. Checking Utilities bill & get verification from Snr HR & Admin before submit to account, Indah
  6. To monitor security guard activities, supervise and under control follow the company policy every time & checking the document such as ( Emp. Pass, Lorry Gate pass, visitor pass, Company Lorry Log Book, Emp. Lateness log book record, Manager In/Out record.
  7. To Monitor factory/office cleaner are cleaning all area have been arrange for him and to ensure the cleanliness overall office.
  8. Issue uniform & safety boots and record to record book
HR
  1. Issue letter of appointment, annual increments, review, confirmation, prepare performance
  2. Recruitment, advertise vacancy and sort candidate to arrange interview.
  3. Update & arrangement renewal permit FW / Medical Check Up (FOMEMA)
  4. Check daily attendance report and update to top management by email.
  5. Check and update Punch card Overtime form, leave form, allowance, deduction, claim & preparing back pay-monthly.
  6. Update and register new employee into book record and keep personal document into personal file.
  7. Issue Memo & filling all document related HR & Admin.
  8. Perform other assignments as required.
