Head of Administration and Finance Manager

Head of Administration oversees all the administrative work of the company. The Administration Department is in charge of Finance & Accounting, HR, General affairs, IT and Legal affairs. The role of the Head of Administration is to grasp the management of the company, plan necessary administrative tasks, and execute them while leading the staff. This Head of Administration will also serve as Finance Manager.

The Finance Manager is responsible for overseeing financial operations, including preparing financial statements, budgets, and forecasts. This role ensures compliance with financial regulations, analyzes financial performance, and collaborates with other departments to drive cost‑saving initiatives and strategic planning. Strong leadership and attention to detail are essential.

Responsibilities
  • Management and supervision of the Administration Department.
  • Assisted the CEO and COO as a member of the company management team.
  • Operations Accounting: Assist and support the full sets of accounting including AP, AR and GL.
  • Financial Planning and Analysis: Develop and maintain financial models to support strategic planning and decision‑making.
  • Analyze financial performance and provide insights to optimize profitability and efficiency. Prepare regular reports and presentations for senior management and stakeholders.
  • Budgeting and Forecasting: Lead the annual budgeting process, working closely with department heads to align financial goals with strategic objectives.
  • Monitor budget vs. actual performance and identify variances, recommending corrective actions as needed. Prepare rolling forecasts to anticipate financial trends and support agile decision‑making.
  • Optimize banking relationships and implement cash management strategies to maximize returns on surplus funds.
  • Coordinate with external auditors and tax advisors to facilitate audits and ensure timely filing of financial statements and tax returns.
  • Treasury and Cash Management: Manage cash flow, liquidity, and working capital to ensure adequate funding for operations.
  • Implement robust internal controls to safeguard assets and maintain data integrity.
  • Financial Reporting and Compliance: Ensure compliance with accounting standards, regulatory requirements, and internal policies.
Requirements
  • Experience managing the entire management department at a manufacturing site.
  • Bachelor's degree in accounting / finance is preferred.
  • Minimum 5 – 7 years working experience in similar capacity preferably in manufacturing industry with management experience.
  • Able to communicate and liaise with Mandarin speaking counterparts including the ones in China.
  • Good knowledge of accounting standards.
  • Excellent analytical, organizational and problem‑solving skills.
  • Proficiency in MS Office, Excel, Word, PowerPoint.
  • Strong leadership and team management abilities.
  • Effective communication and interpersonal skills.
  • Good knowledge of Malaysia labour and employment laws is an advantage.
  • Proactive, organized, meticulous, able to work independently with minimal supervision.
  • Ability to practice a high level of confidentiality.
  • Preferred if available immediately or within short notice.
  • Willing to work in Sepang.
