Overview
To provide assistance to the Head, Human Resource in administering the employee lifecycle including related administrative responsibilities. The role covers administering employee development and succession planning, executing strategic HR initiatives, updating policies and practices, and maintaining staff relations and communications.
Responsibilities
- Assist the Head, HR in analyzing and assessing training needs, planning, coordinating, and monitoring learning and development programmes to enhance employee capability and support organizational goals.
- Manage and administer HRDC/HRDF claims and related processes, including documentation, submission, tracking, compliance and liaison with training providers and relevant authorities.
- Support talent management initiatives, including succession planning, performance management, learning and development, employee engagement and organizational effectiveness programmes.
- Prepare, update and maintain talent databases, succession plans, reports, presentations and related documentation to support talent reviews and management discussions.
- Coordinate with relevant departments to ensure onboarding readiness, including workstation setup, staff ID, office equipment, systems access and stationery prior to new hires’ reporting date.
- Plan, coordinate and conduct company-level onboarding and induction programmes to ensure smooth integration of new employees.
- Support the management of employee relations matters, including employee inquiries, grievances, counselling, disciplinary processes and conflict resolution, in accordance with Company policies and applicable labour laws.
- Plan, coordinate and support staff engagement initiatives and programmes aimed at fostering positive workplace culture, teamwork, morale and employee well-being (e.g. engagement activities, townhalls, appreciation initiatives).
- Collate HR data and prepare periodic reports and analyses related to Talent Acquisition, Learning & Development and other HR matters for the Head, HR and Management.
- Ensure accuracy, confidentiality and timeliness of HR data to support informed management decision-making.
- Assist the Head, HR in HR operational activities, projects and initiatives, including employee development, engagement programmes and process improvements, as required.
- Act as a point of contact for employees on HR-related matters, ensuring consistent communication, fair treatment and positive employee experience.
Qualifications
- Degree in Human Resource Management, Human Resource Development or equivalent from reputable and recognized learning institutions.
- Minimum 3 years of relevant working experience in administering Learning & Development, recruitment and general HR roles.
- Knowledgeable in Malaysian Labour Laws.
- Self-motivated, self-starter, attentive to details with strong initiative.
- Good communication (verbal and written) and interpersonal skills.
