Overview
To lead, plan, coordinate, and execute corporate events, including, but not limited to, meetings, press conferences, launches, CSR activities, signing ceremonies, annual dinners, employee/customer engagement, exhibitions, roadshows, media communication, and seasonal festive events.
Event Management Responsibilities
- Event Planning & Conceptualisation: Developing event themes, formats, and detailed plans based on the event’s objectives.
- Budget Management: Creating and managing budgets, sourcing vendors, and negotiating costs.
- Venue Selection & Management: Identifying and securing suitable venues, managing contracts, and coordinating logistics.
- Vendor Coordination: Working with event management company, caterers, and other vendors.
- Timeline Management: Creating and adhering to event timelines and ensuring all tasks are completed on schedule.
- On‑site Management: Overseeing event setup, execution, and troubleshooting any issues that arise during the event.
- Post‑Event Evaluation: Analysing event performance, gathering feedback, and preparing reports.
- Team Management: Managing the event committee, volunteers, and other personnel involved in the event.
- Risk Management: Identifying potential risks and developing contingency plans.
- Emcee (Master of the Ceremony): Acting as emcee for the company’s event with confidence, setting the tone, and creating a positive atmosphere throughout the event. Able to facilitate smooth transitions, manage the flow of events, and engage the audience.
- Marketing & Promotion: Assisting with event promotion and marketing efforts.
2. CSR Management
To lead the plan, coordinate, and execute CSR activities through strategic initiatives, and liaise with relevant NGOs, government agencies, and selected disadvantaged communities, ensuring visibility and promoting the company’s brand while fostering positive engagement among key stakeholders.
- Research, understand, and identify the needs of the targeted communities and propose relevant assistance (monetary or material).
- Manage sponsorship requests from proposal development up to management approval and collaborate with relevant business units/departments for the execution.
- Monitor the sponsorship made by the company according to the approved budget.
3. Content Development – Writing, Editorial and Proofreading
- Write internal and external communications, including but not limited to the company’s announcements, emcee scripts, social media posting, post‑event report, newsletter (certain sections), video storyboard, and marketing collateral (posters, brochures, etc.).
- Draft, edit and update content for the company’s corporate collaterals to ensure accurate and timely updates of its functionality, content and design.
- Support the team in content creation for the website, corporate video, corporate profile, corporate presentations and all other corporate or marketing collaterals for the Group.
- Collaborate with business units, departments, service providers and suppliers to produce corporate documents and collaterals.
4. Media Relations
- Assist in developing communications material, including preparing articles, press releases and press kits.
5. Branding
- Support the upkeep of brand identity and monitor adherence to corporate brand guidelines.
6. Internal Communications
- Newsletter – Draft the content of the Group's newsletter, SwiftPulse (certain sections).
- Company’s Announcement – Draft the content of the company’s announcement and send it to all employees via group mail.
7. External Communications
- Website – Develop and maintain new content for specific sections in the website.
- Social Media – Develop credible and engaging content and ensure that timely content (posting) is published for the social media channel.
- Video/Reels – Assist in creating storyboards and producing videos (corporate or marketing) and reels (social media).
8. Governance and Compliance
- Assist in developing and implementing the Group Communication Policies and the Standard Operations and Procedures (SOPs).
- Assist in updating the Branding Guidelines and ensure the Group’s compliance.
- Coordinate and monitor the production and inventory of the company’s premium items.
10. Other Tasks as Required by the Department
- Maintain proper filing systems in soft and hard copy to ensure effective document controls for retrieval.
- Manage other ad‑hoc tasks/projects as additional responsibilities to meet the company’s objectives and goals.
- Provide support as required to other departments for related matters.
Job Requirements
1. Qualification
- Bachelor’s Degree in Public Relations / Mass Communications / Corporate Communications / Strategic Communications / Marketing / Creative Design or relevant courses / related discipline.
2. Experience (Years of Experience)
- Minimum 4 – 6 years of working experience and exposure in the related discipline.
3. Essential Skills
- Excellent command of English & local languages in writing, verbal and sound presentation skills.
- Working knowledge of relevant computer applications:
- MS Office: PowerPoint, Excel, Word, WordPress
- Creative: Adobe Photoshop, Illustrator, Canva
- Photography/Videography
- Highly passionate, organised and detail‑oriented, fast learner, able to work independently and deliver results.
- Perfect time management, pro‑active, goal‑oriented, multitasking and striving to complete the assigned project according to the deadline.
- Must possess excellent interpersonal skills – a people person.
- Must be a good team player, resourceful, and have great common sense.
- Able to liaise with colleagues at all levels across divisions/departments in the organization.
- Able to demonstrate outstanding creative problem‑solving and negotiating abilities.
- Able to handle stress and commitment to working hours to deliver events to a high standard, and adaptable to changing circumstances and unexpected challenges.
- Willing to take on new challenges and embrace change.
- Knowledge of marketing, media, branding or creative design would be advantageous.
- Able to travel, as and when required.
