  • Assist in preparing tender and quotation documents, as well as presentation slides, ensuring that all documents are vetted and reviewed by relevant parties prior to approval.
  • Draft, review, and revise various contracts, agreements, and legal documents as required.
  • Prepare justification papers for the issuance of Variation Orders (VO), contract extensions, and other contract related correspondence to ensure all agreements remain up to date.
  • Prepare letters of Addendum for Variation Orders and contract extensions, Notices of Termination/Expiry, and memos/letters on payment deductions for Performance Security, Blanket Purchase Orders or other related approvals.
  • Monitor and track all matters related to contract expiry and renewal, variation orders, Liquidated Ascertained Damages (LAD), contract suspension, termination, and any remedial actions against contracts.
  • Schedule and attend meetings related to contracts with user departments and vendors, as required.
  • Prepare minutes of meetings held with contractors and/or user departments.
  • Assist in preparing documentation required for submission to the Tender & Contract Award Committee (TCAC), Executive Committee (EXCO) or Board of Directors (Board), in accordance with the approved Limits of Authority.
  • Support the Commercial Department and User Departments in obtaining at least three (3) competitive quotations for any ad-hoc or project related shipments.
  • Conduct price analysis, benchmarking, and negotiations to secure the best value for the organization.
  • Assist in internal and external audit exercises (including SIRIM), by preparing required documentation and responding to auditor queries.
