Job Overview

We are looking for a highly organized and proactive Executive Assistant to support our Founders, who are primarily based in the US and frequently travels between the US, Malaysia, and India. This role involves managing complex schedules across time zones, coordinating international travel, preparing documents and presentations, and ensuring smooth day‑to‑day operations. The ideal candidate is detail‑oriented, a strong communicator, and able to handle sensitive information with discretion. Fresh graduates with strong language skills and the right attitude are encouraged to apply.

Key Responsibilities
  • Manage the Founders' calendar, appointments, and meetings across multiple time zones.
  • Coordinate international travel arrangements, including flights, accommodations, visas, and itineraries.
  • Prepare reports, memos, presentations, and other business documents.
  • Screen, route, and respond to emails and calls as needed.
  • Maintain accurate and organized digital and physical filing systems.
  • Support cross‑functional coordination between the Founders and internal/external stakeholders.
  • Handle confidential information with a high level of professionalism.
  • Provide administrative support to other teams as required.
  • Handle general office administrative tasks to ensure that the workspace is organized and running smoothly.
Required Qualifications
  • Bachelor’s degree in Business Administration or related field (fresh graduates are welcome).
  • Strong command of English and Mandarin.
  • Proficiency in Microsoft Office Suite, especially Excel, Word, and PowerPoint.
  • Strong communication, interpersonal, and time management skills.
  • Highly organized, detail‑oriented, and able to manage multiple tasks simultaneously.
  • Reliable, proactive, and able to work independently with minimal supervision.Ability to handle sensitive and confidential information with integrity.
  • Prior experience in administrative or executive assistant roles.
  • Experience working with senior leadership or in a multinational environment.
  • Familiarity with travel coordination and scheduling across regions.
  • Strong problem‑solving abilities and adaptability in fast‑paced settings.
