We are seeking a high-caliber Executive Assistant (EA) to serve as the strategic partner, execution arm, and operational backbone to the Director. This role goes far beyond traditional administrative support. The successful candidate will function as the eyes, ears, and trusted proxy of the Director, actively assisting in strategy formulation, planning, and hands-on execution across business, operational, and special projects.
This is a high-impact, high-accountability role for a resourceful, adaptable, and execution-driven individual who thrives in a fast-paced, dynamic environment and is comfortable operating across strategic, tactical, and operational levels.
Key Responsibilities

Strategic & Execution Support
- Act as a strategic aide and execution partner to the Director in planning, coordinating, and delivering key initiatives.
- Translate strategic direction into actionable execution plans, tracking milestones, progress, and outcomes.
- Drive end-to-end execution of assigned projects, ensuring timely delivery, quality outcomes, and measurable impact.
- Proactively identify risks, gaps, and opportunities, and propose solutions to enhance effectiveness and efficiency.

Operational & Administrative Excellence
- Manage the Director’s calendar, scheduling, meetings, travel arrangements, and logistics with high accuracy and discretion.
- Coordinate internal and external meetings, prepare agendas, record minutes, and follow up on action items.
- Filter, prioritise, and manage incoming communications and requests, ensuring optimal use of the Director’s time.
- Handle routine, manual, and time‑consuming tasks, enabling the Director to focus on high-level strategic priorities.

Research, Reporting & Presentation
- Conduct independent research on assigned subjects and prepare concise reports, briefs, and analysis.
- Develop high-quality presentations, proposals, and executive summaries on behalf of the Director.
- Compile data, insights, and progress updates into structured management reports for leadership discussions.

Stakeholder & Relationship Management
- Serve as a key liaison between the Director and internal teams, management, and external stakeholders.
- Build strong working relationships across all levels of the organization.
- Coordinate meetings, engagements, and communications with business partners, clients, regulators, and service providers when required.

Ad-hoc & Special Projects
- Support special initiatives and ad-hoc assignments as directed, often under tight timelines.
- Adapt quickly to changing priorities and emerging business needs.
- Step in as the Director’s representative when appropriate, ensuring continuity of execution.
Requirements
- Professional & Technical Skills
- Strong organizational, planning, and execution capabilities.
- Excellent written and verbal communication skills.
- High proficiency in Microsoft Office / Google Workspace, including PowerPoint / Slides and Excel / Sheets.
- Tech-savvy, comfortable using productivity tools, collaboration platforms, and digital research tools.
- Strong research, analytical, reporting, and presentation skills.
- Experience & Qualifications
- Bachelor’s degree in Business Administration, Management, Communications, or related field.
- Minimum 3–7 years of relevant experience as an Executive Assistant, Project Coordinator, Chief of Staff, Management Associate, or similar role.
- Prior experience supporting senior management / C-suite / directors preferred.
- Experience in project management, consulting, operations, or strategy execution is a strong advantage.

- Language Proficiency
- Mandarin – Mandatory (to interact with stakeholders)
- Bahasa Malaysia – Advantage (to interact with government officials)
- Additional Requirements
- Willingness to travel on assignments when required.

- Comfortable handling confidential and sensitive matters with professionalism.
