Overview

We are looking for a highly capable Executive Assistant and Coordinator to join our HSSE & Sustainability team at TotalEnergies EP Malaysia. This role is pivotal in ensuring smooth departmental operations, supporting management systems, and driving safety and sustainability initiatives.

Responsibilities
  • Manage travel, accommodation, and administrative tasks in line with company procedures.
  • Handle SAP transactions, including purchase requisitions, service entries, and invoice processing.
  • Track and coordinate timely renewals of permits, licenses, and audit schedules.
  • Consolidate and prepare reports, dashboards, and presentations for internal and external stakeholders.
  • Support the roll-out and maintenance of the Company Management System (CMS).
  • Coordinate training programs and HRDC claims, and track team training progress.
  • Actively contribute to safety practices as Assistant Floor Safety Manager and First Aider.
Candidate Profile
  • A diploma or degree in environmental science, occupational safety, engineering, or a related field.
  • Minimum 5 years of experience in a similar role, preferably in the energy or industrial sector.
  • Strong organizational and communication skills.
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word).
  • Familiarity with HSSE management systems and sustainability reporting is an advantage.
  • Self-driven, detail-oriented, and able to work independently.
