A leading agency in Kuala Lumpur is seeking a Product Owner to manage the DarwinBox product roadmap and enhance HR systems. This role requires 5-8 years of experience in HR systems, especially with DarwinBox or similar platforms. The ideal candidate will engage stakeholders across various departments and oversee the configuration, testing, and implementation of new functionalities. Strong problem-solving, analytical, and communication skills are essential for this role, which supports HR transformation initiatives.
Own the DarwinBox product roadmap, release planning, prioritisation, and backlog grooming
Translate business needs into clear epics, features, and user stories with acceptance criteria.
Align roadmap with HR strategy, organisational goals, and transformation initiatives.
Work with internal teams and DarwinBox vendor to plan upgrades, new modules, and enhancements.
Maintain a long-term vision and capability roadmap (Core HR, Recruitment, Performance, L&D, Payroll, Attendance, Employee Self Service, Analytics etc).
Engage stakeholders across HR, Finance, IT, and Operations to gather requirements and pain points.
Convert business requirements into functional requirements, process flows, and configuration specifications.
Evaluate new feature requests, assess feasibility, and propose optimal DarwinBox configurations.
Ensure solutions follow best practices, standardisation, and future scalability.
Oversee system configuration, validation, and implementation of new functionalities.
Manage UAT planning and execution across business teams.
Ensure proper documentation for configurations, changes, test scripts, and release notes.
Coordinate with IT for technical activities such as SSO setup, API integrations, data migration, and environment refreshes.
Own integration requirements between DarwinBox and other enterprise systems. Examples:
Ensure data integrity, security, access controls, and compliance with internal and external policies.
Define and enforce data governance standards for employee lifecycle processes.
Act as the primary liaison with DarwinBox vendor teams for enhancements, issues, SLAs, and escalations.
Review vendor proposals, effort estimates, and change requests.
Manage monthly releases, patches, and major version upgrades.
Track and close incidents, defects, and service requests according to ITSM priorities (P1–P4).
Communicate product updates, changes, release notes, and timelines to stakeholders.
Partner with HR and Communications team on employee-facing changes and adoption campaigns.
Conduct training, demos, onboarding sessions, and knowledge-sharing workshops.
Support organisational transformation and HR digitalisation initiatives.
Leverage DarwinBox analytics, dashboards, and survey capabilities.
Identify areas for automation, process optimisation, and cross-module alignment.
Conduct post-implementation reviews and performance evaluations of new features.
RequirementsBachelor’s degree in HR, IT, Business, Computer Science, or related fields.
5-8 years of experience in HR systems, with at least 2 years of hands‑on DarwinBox or equivalent HRMS (Workday, SuccessFactors, Oracle HCM, BambooHR).
Experience in SaaS product ownership, HR technology projects, or HR operations.
Experience working in a fast‑paced, transformation‑heavy environment is preferred.
Strong understanding of DarwinBox modules (Core HR, Attendance, Payroll, Performance, Recruitment, L&D, ESS/MSS, Workflow Engine).
Knowledge of HR processes: hire‑to‑retire, performance cycles, org structure, compensation, onboarding, etc.
Experience with HRMS configuration, SaaS platforms, and digital HR transformation.
Understanding of APIs, integrations, SSO, data migration, and basic SQL (bonus).
Familiarity with ITSM tools, change/incident management frameworks.
Experience with process mapping (Visio, Lucidchart, Miro).
Strong stakeholder management and ability to influence HR, IT, and leadership teams.
Excellent analytical and problem‑solving skills.
Proactive, structured, and detail‑oriented, with strong documentation discipline.
Strong communication, facilitation, and presentation skills.
Ability to balance business urgency with system sustainability.
