Job summary

A leading tool technology company in Malaysia, located in Malacca City, is looking for a Customer Service representative. The successful candidate will handle customer inquiries, process orders, and manage quotations. Candidates should have a diploma or degree in a related field and 1-2 years of relevant experience. Responsibilities
  1. Respond promptly to customer inquiries via email, phone, or other channels.
  2. Handle and process Requests for Quotation (RFQs) from customers:
    • Review specifications and requirements.
    • Coordinate with internal departments (e.g., sales, production, procurement) to prepare pricing and lead time.
    • Prepare and issue accurate quotations.
  3. Receive, verify, and process Purchase Orders (POs):
    • Confirm order details, delivery dates, and terms.
    • Input orders into internal systems.
  4. Follow up on orders, delivery status, and customer feedback.
  5. Coordinate with logistics and warehouse teams to ensure timely delivery.
  6. Maintain accurate records of communications, quotations, and orders.
  7. Resolve customer complaints or issues professionally and escalates when needed.
  8. Support the sales team with customer-related administrative tasks.
  9. Other tasks assign by superior.
Qualification and Experience
  1. SPM / Diploma / Degree in Business, Administration, or related field.
  2. Minimum 1–2 years of experience in customer service, order processing, or sales coordination.
  3. Strong understanding of quotation and order handling processes.
  4. Proficiency in Microsoft Office (Excel, Word) and experience with CRM systems (e.g. SQL, SAP, or similar).
  5. Good written and verbal communication skills in English and Bahasa Malaysia.
  6. Detail-oriented, organized, and able to handle multiple tasks.
