A Malaysian educational institution is seeking an Academic Coordinator to manage student mobility programmes. The successful candidate will be responsible for budget preparation, student welfare, and liaising with various stakeholders for activities. The role requires at least 2 years of experience in the education sector and a strong command of English. This position is based in Kuala Lumpur and involves collaboration with diverse populations.
· To manage the student mobility programmes (study tour, short course, etc.) organised by Centre for Academic Collaboration.
· To assist the other colleagues in data entry and reporting for franchise programs.
· To perform any other duties as assigned by the Director and Senior Manager.
Student Mobility Programme
· To prepare budget and ensure all expenses are kept within proposed budget
· Take care of student welfare for the participating students during the student mobility programme.
· Airport pick up and send off.
· To prepare the itinerary/ timetable/ activities for the student mobility programme.
· To source and book the accommodation.
· To source and book the bus transportation.
· To book and reserve the teaching and student activity venues.
· To order the catering food for the welcome and farewell parties and student activities.
· To conduct orientation and briefing on first day of all the mobility programs
· To bring the participating students for visiting tour, company visit and other external activities.
· To prepare the appointment letter for the lecturers who are assigned to teach or conduct the workshops.
· To prepare the statement of results and certificate of completion for the participating students.
· To prepare/ order the teaching materials for the participating students.
· To prepare the memo for Bursary to issue the invoice to the institution(s)
· To process and submit the invoices from accommodation provider, catering provider, transportation provider, materials provider and etc.
· To liaise with HELP students in organising cultural exchange activities for the participating students.
· To conduct satisfaction surveys and ensure all items below average are followed up
· Ensure all records and surveys for the mobility programs are well kept and easily retrievable for reporting purposes
1. Minimum Academic Qualification
At least a Diploma or Bachelor’s degree in relevant field
2. Experience
At least 2 years of working experience in the education sector.
Must have experience in handling student mobility programmes.
3. Core Competencies
Good command of spoken and written English.
Excellent communication and interpersonal skills.
Ability to work collaboratively with diverse populations and stakeholders.
