Join our team as part of a dynamic, global team of 50+ across Korea, Singapore, Malaysia.

In this role, you’ll collaborate closely with our regional teams to grow an exciting portfolio of Korean brands such as Beauty of Joseon, Celimax, Needly, Tirtir and other top of trend Korean brands.

We are seeking a proactive and detail-oriented Business Administrative Executive to support our daily operations and ensure smooth functioning of our business processes. This role includes managing administrative tasks, coordinating internal workflows, assisting with documentation, supporting payroll and HR operations and ensuring compliance with company policies across all regions.

Key Responsibilities
  • Manage office and administrative operations, including procurement, vendor coordination, and facilities management, office assets, inventory and supplies.
  • Handle correspondence, scheduling, and meeting arrangements.
  • Organize and maintain documents, contracts and records.
  • Prepare and manage reports, presentations, business correspondence, and meeting schedules.
  • Support HR functions such as payroll, recruitment processes, including job postings, resume screening, interview scheduling, and onboarding new hires.
  • Maintain employee records and ensure compliance with HR policies and local regulations.
  • Provide administrative support for performance review and organize employee engagement, welfare programs and team-building events.
  • Assist in regulatory compliance processes, such as obtaining and maintaining Malaysia NPRA certifications.
  • Liaise with internal departments, local authorities, vendors and overseas teams to ensure effective communication and workflow alignment.
  • Assist management with ad-hoc administrative and optional tasks as required.
  • Monitor project timelines, deadlines and operational requirements to ensure smooth operations.
Requirement
  • 2-3 years working experience in Administration, Human resources, Executive assistant or etc.
  • Diploma or degree in Business Administration or a related field.
  • Proficient in Microsoft Office Suite and familiar with office management software.
  • Knowledge in Malaysia payroll (contributions, income tax), and Labor Law.
  • Highly organized, able to prioritize tasks and meet deadlines in a fast-paced environment.
  • Strong communication skills for both internal coordination and external stakeholder management.
  • Ability to work effectively in multicultural teams.
