We are establishing a new veterinary-related wholesale business and are seeking a Procurement & Administration Manager in Kuala Lumpur to support the setup, operations, and growth of the business.
This role is responsible for end-to-end procurement, supplier management, and key administrative functions to ensure operational efficiency, cost control, and compliance. The successful candidate will play a critical role in building procurement processes, supporting business operations, and enabling scale.
This position is based in Kuala Lumpur
During the initial 3 to 6 months, the successful candidate will be stationed in Johor Bahru for onboarding, training, operational alignment, and management direction.
Thereafter, work will be based in Kuala Lumpur, with periodic travel to Johor Bahru as required by business needs
Travel, accommodation, and related allowances will be provided in accordance with the Company’s policies.

Requirements
- Bachelor’s degree in Business Administration, Supply Chain Management, Procurement, Logistics, Finance, or a related discipline
- Minimum 5 years of relevant experience in procurement, supply chain, administration, or operations role
- Experience in wholesale, distribution, FMCG, healthcare, pharmaceutical, or veterinary-related industries is an advantage
- Prior experience in a startup or growing business environment is highly preferred
- Strong knowledge of procurement processes, sourcing strategies, and supplier negotiation
- Good understanding of cost control, inventory management, and operational workflows
- Strong organisational and administrative skills with attention to detail
- Proficient in Excel and office productivity tools; experience with ERP or inventory systems is a plus
- Able to work independently, manage multiple priorities, and meet deadlines
- Good communication and stakeholder management skills
- High level of integrity, accountability, and professionalism
Key Responsibilities
- Lead and manage end-to-end procurement activities, including sourcing, negotiation, purchasing, and supplier evaluation
- Identify, assess, and onboard suppliers for veterinary products, consumables, equipment, and related materials
- Negotiate pricing, payment terms, contracts, and service levels to ensure cost efficiency and supply continuity
- Manage supplier performance, pricing reviews, and issue resolution
- Ensure procurement activities comply with internal policies and regulatory requirements
- Maintain accurate procurement records, pricing lists, and supplier documentation
Inventory & Cost Control
- Coordinate with operations and warehouse teams on inventory planning, stock levels, and replenishment
- Monitor purchase costs, margins, and pricing structures to support profitability
- Support stock forecasting, slow-moving stock review, and cost optimisation initiatives
Administrative & Operational Support
- Oversee general administrative functions, including documentation, contracts, licenses, and records management
- Support basic finance and operations administration, such as purchase orders, invoices, delivery documentation, and approvals
- Coordinate with internal stakeholders and external parties (suppliers, logistics partners, auditors, regulators) as required
- Assist in establishing and maintaining standard operating procedures (SOPs) for procurement and admin processes
Business Setup & Process Improvement
- Support the setup phase of the wholesale business, including systems, workflows, and vendor structures
- Identify opportunities for process improvement, automation, and cost savings
- Support management reporting related to procurement spend, supplier performance, and operational metrics
