Job description

The Assistant HR & Administration Manager is responsible for managing the day-to-day HR and administrative operations at the Johor site, with primary ownership of payroll compilation and verification, recruitment coordination and execution, HR operational delivery, and first-level employee issue resolution. This role is highly hands‑on and serves as the operational backbone of the HR function, ensuring accurate payroll processing, effective recruitment support, smooth employee lifecycle administration, and timely resolution of site HR challenges in compliance with Malaysian labour laws and company policies.

Key Responsibilities
  • Compile, validate, and reconcile monthly payroll inputs including attendance, overtime, allowances, deductions, and statutory contributions; perform detailed payroll checking before submission for approval.
  • Manage daily HR operations including onboarding, confirmation, employee movement, contract administration, and exit processing.
  • Handle employee enquiries and resolve operational HR issues promptly and professionally.
  • Support and manage first‑level Industrial Relations matters including counselling, warning letters, attendance monitoring, and documentation for disciplinary cases.
  • Ensure compliance with Employment Act 1955 and statutory requirements (EPF, SOCSO, EIS, HRDC).
  • Maintain accurate HRIS data, payroll records, and employee documentation to ensure audit readiness.
  • Work closely with Safety and RBA teams on labour compliance documentation and audit requirements.
  • Support recruitment coordination and workforce reporting.
  • Manage day‑to‑day site administrative functions and assist in company events and engagement activities.
  • Partner with department heads on daily workforce matters, attendance management, manpower concerns, and operational HR challenges.
  • Assist to lead and develop the Johor HR & Admin team while aligning HR processes and policies with Division HRMs and Regional HR standards.
  • Plan and coordinate company events and employee engagement initiatives to promote a positive and cohesive workplace culture.
  • Perform any other ad‑hoc duties as assigned by the Regional HR & Admin Manager, SEA.
Requirements
  • Diploma or degree in Human Resources, Business Administration, or related field.
  • With 5‑8 years of HR experience with at least 3 years in a supervisory capacity, preferably in a manufacturing environment.
  • Hands‑on exposure to Industrial Relations processes including disciplinary documentation and domestic inquiry support.
  • Sound knowledge of Malaysian labour laws and statutory requirements.
  • Experience in expatriate management and immigration processes.
  • Demonstrated problem‑solving capability with confidence to influence stakeholders.
  • High integrity, strong documentation standards, and risk management mindset.
