Job summary

A leading technology firm in Malaysia is looking for an Operations Assistant to provide essential operational assistance and secretarial support. The candidate will manage day-to-day operations, liaise with affiliates, handle mail, and coordinate travel arrangements for staff. A high school qualification and 1 to 3 years of relevant experience are necessary for this role, along with strong communication skills. Job description
  • Provide operation assistance and secretarial support to the Operations Executive by performing all secretarial duties, i.e. handling phone calls, typing, etc. on a timely basis and in accordance with the requirements of the Operation Executive.
  • Assist in handling day to day operations and coordination.
  • Assist to liaise with affiliates, filling, opening of job files, arranging of inspectors, sending reports, closing of job files, invoicing, etc.
  • Assist to coordinate and arrange meeting within the department.
  • Assist to prepare and ensure proper overseas travel arrangements for the all staff within the department and arranging transportation and hotel accommodation in accordance to their travelling schedules.
  • Assist to handle incoming and outgoing mail/correspondence of the department.
  • Assist to handle all incoming mail, parcels and distributing them to the appropriate personnel within the department.
  • Adherence to SGS Health, Safety and Environment (HSE) Policy by uphold a good safety behavior and exercising necessary standard and process when carry out your responsibilities at all times to ensure compliance to the HSE requirements.
  • Adherence to applicable Quality Management System by exercising necessary standard and process when carry out your responsibilities in executing, fulfilling and ensuring at all times the compliance of the QMS requirements.
  • Perform any other responsibilities as assigned by your reporting manager and/or Senior Management
Qualifications
