Job Summary

The Administrative Executive oversees and coordinates the daily administrative operations within the property management department. This role ensures the smooth functioning of office processes, supports management in decision-making, and maintains compliance with company policies and property regulations.

Key Responsibilities
  • Supervise and coordinate administrative staff and daily office activities.
  • Manage documentation related to property leases, tenancy agreements, maintenance contracts, and renewals.
  • Ensure compliance with property laws, safety standards, and internal procedures.
  • Prepare reports, presentations, and performance summaries for management.
  • Oversee billing, payments, and petty cash management.
  • Assist in preparing budgets and tracking property-related expenses.
  • Coordinate procurement of supplies, vendor contracts, and service providers.
  • Liaise with property owners, tenants, vendors, and service providers.
  • Handle escalated tenant issues and coordinate resolutions with the operations team.
  • Schedule meetings, prepare minutes, and follow up on action items.
  • Maintain and update property databases, tenant directories, and documentation archives.
  • Generate management reports and support audit requirements.
Requirements
  • Degree in Estate Management, Business Administration, Building Services or a related field.
  • Proven experience in administrative roles, preferably in property or facilities management.
  • Strong organizational and multitasking skills.
  • Fluent in the use of property accounting systems.
