Job summary

A fast-growing IT solutions company in Puchong seeks an Executive Assistant to manage the Managing Director's schedule and coordinate communications. The ideal candidate will possess strong organizational and multitasking skills along with excellent verbal and written communication in English and Malay. This role offers exposure to strategic operations, opportunities for growth, and performance incentives with a salary range of RM3,000 – RM4,000 based on experience.

Job description
Responsibilities

Manage the Managing Director’s daily schedule, appointments, and calendar.

Organize meetings, prepare meeting materials, minutes, and follow-up action items.

Handle confidential documents, reports, and correspondence with strict professionalism.

Draft emails, letters, and internal communications on behalf of the MD.

Office & Documentation Management

Prepare, file, and maintain both physical and digital documents (quotations, agreements, invoices, proposals, HR documents, etc.).

Assist in preparing business proposals, presentations, and reports.

Ensure timely tracking of important deadlines, renewals, and submissions.

Coordination & Communication

Liaise with internal teams (sales, technical, finance, operations) to follow up on tasks assigned by the MD.

Coordinate with external stakeholders such as suppliers, partners, and customers.

Serve as the main contact point for matters that require MD attention.

Operational & Administrative Duties

Assist in arranging travel itineraries and meetings.

Help oversee office administrative tasks when needed.

Support MD in project coordination, task monitoring, and documentation control.

Requirements
Must-Have

Strong organizational and multitasking skills.

Excellent written and verbal communication (English, Malay, Mandarin is an advantage).

High level of integrity, confidentiality, and professionalism.

Proficient in MS Office.

Able to work under pressure and prioritize work effectively.

Good-To-Have

Tech-savvy, able to coordinate tasks digitally.

Proactive, resourceful, and able to make decisions independently.
