A prominent energy company in Malaysia is seeking an experienced Administrative Manager to oversee office coordination, safety, and public area management. The successful candidate will manage meetings, oversee maintenance, and ensure compliance with safety regulations. A degree in Administrative Management is required, along with over three years of relevant work experience. Strong communication and problem-solving skills are essential for this role.
Responsible for coordinating and organizing visits, receptions, meeting notifications, and meeting minutes; Responsible for designing and producing various publicity materials and on-site signage;
Handle the application, issuance, and management of office supplies;
Manage the activation and deactivation of access control and vehicle access permissions;
Allocate company vehicles reasonably according to existing policies to ensure safe usage.
Responsible for the daily management of public areas (lobby, changing rooms, visitor passage, central roads, etc.);
Organize irregular inspections and evaluations of workplace hygiene and office safety, and propose improvement measures;
Conduct on-site 5S inspections, including daily, weekly, and monthly checks; assess non-compliance and follow up on corrective actions;
Manage daily solid waste handling, maintain accurate waste in/out inventory records, and oversee weighing during waste disposal;
Conduct regular 6S safety and hygiene training, guide employees to follow workshop rules, and improve workplace discipline and safety awareness; safety is the foundation—strictly prevent violations.
Supervise canteen hygiene, meal quality, service attitude, and food safety to continuously improve employee satisfaction;
Monitor meal standards, conduct internal evaluations, and improve overall catering service quality;
Handle water and electricity meter readings for canteen and dormitories, summarize data, investigate abnormalities, and ensure closed-loop resolution;
Supervise landscaping to ensure cleanliness, neatness, and weed-free green areas;
Manage daily maintenance of public facilities (waste collection areas, drainage ditches, septic tanks, pipelines, etc.);
Coordinate loading/unloading personnel and equipment to ensure efficiency and safety;
Inspect security guard operations according to company security management requirements, provide improvement suggestions for non-compliance, and follow up on implementation;
Coordinate daily building repair and maintenance tasks and ensure timely follow-up.
Assist in daily work management and supervise the implementation of company policies;
Assist with tasks temporarily assigned by the management.
Degree holder and above, major in Administrative Management or related fields.
More than 3 years of work experience; candidates with over 2 years of administrative management experience preferred.
