Job summary

A diverse administrative organization in Johor Bahru seeks an Administrative Assistant to perform various administrative tasks, provide HR-related support, and assist the Project Director. The ideal candidate should have at least a Diploma or Degree, be proficient in Microsoft Office, and have strong communication skills in Mandarin, English, and Bahasa Malaysia. Job description
Responsibilities

Perform daily administrative tasks such as filing, photocopying, scanning, data entry, and document sorting.

Handle incoming and outgoing calls, emails, letters, and courier arrangements.

Prepare simple reports, meeting minutes, letters, and other administrative documents.

Assist in routine office administration and company-wide administrative activities.

HR‑Related Administrative Support

Prepare new employee KONG cards / site cards.

Track and calculate employees’ card‑in/card‑out working hours or site card hours when required.

Maintain basic HR documentation, attendance records, and staff lists.

Assist with HR filing, forms, and simple HR reporting tasks.

Support to Project Director

Assist the Project Director with scheduling, document preparation, and follow‑up actions.

Handle administrative errands and ad‑hoc support tasks assigned by the Project Director.

Ensure confidentiality and timely completion of all assigned tasks.

Requirements
  • Have at least Diploma or Degree in any field or equivalent experience
  • Team player with good interpersonal and positive attitude
  • Self‑starter, ability to work with minimal direct supervision
  • Excellent critical thinking, problem solving and analytical skills with attention to detail
  • Good written and verbal communication skills / ability to discuss technical objectives to non‑technical user community
  • Proficient in using Microsoft Office (Word, Excel, etc.)
  • Proficient in Mandarin, English and Bahasa Malaysia to effectively communicate with our diverse client base and stakeholders
  • Candidate to have own transport
  • Candidate which able to join immediately will be added advantage
