Job summary

A legal firm in Malaysia is seeking a dedicated non-executive administration assistant to manage various office duties such as answering calls, assisting lawyers, and maintaining records. Candidates should possess at least an SPM qualification, be computer literate, and fluent in both English and Malay. This contract position offers a salary range of RM 1,700 to RM 4,000 per month based on experience and qualifications.

Responsibilities
  • Answering phone calls, taking messages, photocopying, scanning, faxing, binding documents.
  • Monitoring and arranging the firm’s mailings, courier and dispatch.
  • Ushering clients to meeting room and making drinks for clients during meeting.
  • Conducting searches and making enquiries with the relevant authorities (land office, banks, CCM, Insolvency, CTOS, LHDNM etc).
  • Opening and closing files.
  • Taking care of the firm’s inventories and equipment (stationeries, photocopier, facsimile machine, internet services, replenishment of foods and drinks at pantry etc).
  • Drafting letters and preparing invoices and receipts.
  • Assisting lawyers in conveyancing matters (sub-sales, loans, discharge, perfection of transfer and perfection of charge and other conveyancing matters).
  • Assisting with the preparation of documents for sale and purchase transactions and loan agreements.
  • Liaising with the relevant parties including clients, other lawyers, banks, developers, management officers, land officers, utilities providers.
  • Monitoring and following up closely for work progress for files.
