A dynamic engineering firm in the United Kingdom is seeking an experienced accounts and office administrator. The role involves handling day-to-day processing, data entry for sales and purchase ledgers, managing orders and supplier communications, and ensuring compliance with safety standards. Candidates must have experience with Sage Accounting and a confident telephone manner. This is a part-time position with an hourly rate of £13.50 to £14.00 depending on experience, along with holiday entitlement.

Responsabilités

  • Ensure Purchase Orders agree with Supplier Invoices and raise queries.
  • Circulate daily/weekly sales and Open Order book values.
  • Placing customer orders and managing invoices.
  • Answer all incoming phone calls and process incoming post.
  • Covering for holiday/sickness and marking paperwork.
  • Tracking timesheets and overtime for approval.
  • Issuing delivery notes and booking transport.
  • Ensuring compliance of company machines and safety certificates.
  • Helping with audits and internal stock takes.
  • Being the main contact for IT issues in the office.
  • Managing all office and workshop stationery and workwear.

Overview

We are looking to recruit an accounts and office administrator to handle the day-to-day processing and data entry requirements of our Sales and Purchase Ledger, ensuring goods are booked in, making payments to suppliers, updating SAGE, chasing debtors for payments.

Working with the central accounts function at our head office to produce the Month End accounts package.

Responsibilities
  • Ensure Purchase Orders agree with Supplier Invoices and raise queries on ones that do not.
  • Circulate daily/ weekly sales and Open Order book values.
  • Placing customer orders on the in-house system, printing delivery notes and forwarding all invoices.
  • Answer all incoming phone calls, process incoming post, monitoring emails.
  • When necessary to cover holiday/sickness. Marking all holiday and subsequent paperwork.
  • Tracking timesheets and overtime and submitting to head office for approval.
  • Be able to issue delivery notes and book transport as necessary.
  • Ensuring all company machines are compliant and have the correct safety certificates.
  • Helping with audits and internal stock takes, updating spreadsheets and advising Head Office of information.
  • Being the main contact for any IT issues in the office.
  • Managing all stationery requirements for office and workshop and workwear and PPE demands.
Hours and Compensation

Hours: Monday – Thursday 09:00 – 15:00; Friday – 09:00 – 13:30.

Hourly rate £13.50 to £14.00 per hour (subject to experience).

Holiday entitlement - All bank holidays plus 22 days to be taken January to December.
