The Ontario Securities Commission (OSC) is the statutory body responsible for regulating Ontarios capital markets in accordance with the mandate established in the provincial Securities Act and the Commodity Futures Act. The mandate of the OSC is to provide protection to investors from unfair improper or fraudulent practices to foster fair efficient and competitive capital markets and confidence in the capital markets to foster capital formation and to contribute to the stability of the financial system and the reduction of systemic risk. This mandate is performed through policy operational and enforcement activities. The OSC also contributes to national and global securities regulation development.

The Enforcement Division of the Ontario Securities Commission investigates and litigates breaches of securities laws in Ontario. Team members work closely with other securities regulators self-regulatory organizations and law-enforcement agencies to enhance initiatives to fight misconduct. A strong visible enforcement presence assists in protecting investors from unfair improper or fraudulent practices fosters fair efficient and competitive capital markets fosters capital formation and contributes to the stability of the financial system and the reduction of systemic risk.

Reporting to the Senior Vice President Investigations Litigation & Professional Practices (SVP) the Branch Administrator will provide administrative and operational support services to the SVP as well as to the Manager of Professional Practices.

• Act as the central point of contact for the SVP by screening incoming inquiries and determining the level of priority for follow up or escalation.
• In coordination with the SVP manage the SVPs email calendar and appointments by planning and prioritizing.
• Prepare and edit correspondence reports presentations and other documents.
• Lead the planning and coordinating of meetings and events including logistics room or venue booking materials catering and communications.
• Prepare agendas and take minutes of meetings as required.
• Coordinate travel arrangements including booking airfare accommodation ground transportation and associated approval requests.
• Support Division budget requirements including preparing expense reports specialized documents notices reports presentations and conduct research on key issues to inform document preparation.
• Organize and maintain files and records as needed.
• Coordinate administrative processes and provide technical assistance in consultation with Human Resources Information Technology Office Services and Finance.
• Coordinate the administration of programs or projects acting as the main point of contact for the department for any relevant external stakeholders.
• Assist in identifying and collecting existing Enforcement Division knowledge resources by liaising with various teams.
• Assist in the implementation and ongoing updating of the Enforcement Divisions knowledge management database.
• Help create a clear structure for organizing and sharing current information with the Enforcement Division.
• Assist in updating guidelines and other practice materials (templates precedents checklists toolkits) for use by the Enforcement Division.
• Provide support with communications to the Enforcement Division surrounding new and updated practice materials.
• Coordinate internal and external training programs workshops and other professional development opportunities. This may include researching and liaising with vendors obtaining estimates of training costs choosing venues sending invitations and coordinating technical requirements.
• Assist with coordinating the onboarding of new Enforcement team members.
• Assist with various projects impacting the Enforcement Division including tracking progress deliverables and follow-ups.
• Provide administrative and document management support to the Professional Practices team as required.
• Anticipate upcoming administrative issues and identify and implement solutions.
• Provide back-up support for other administrative team members.

• Completion of a college or university program in a relevant field.
• Senior administrative support experience in a professional office environment including experience supporting several management or professional teams at one time.
• Experience with event coordination.
• Excellent communication skills (written and oral).
• Excellent organization skills with demonstrated attention to detail.
• Advanced proficiency in Microsoft applications including Word Excel PowerPoint Teams and SharePoint. Experience with Workday is an asset.
• Ability to handle multiple projects and adapt to shifting priorities.
• Ability to problem solve exercise sound judgment and take initiative.
• Ability to handle sensitive or confidential matters.
• Strong interpersonal skills with demonstrated ability to deal with sensitive or confidential matters with discretion and tact.
