Job summary
A recruiting company in Singapore is seeking an Operations / Shipping cum Admin Executive to oversee daily operations and manage logistics. Responsibilities include vendor management, handling import/export activities, and administrative support. Ideal candidates should have a diploma in a relevant field and 2–3 years of experience in operations or logistics. Proficiency in MS Office and strong organizational skills are essential.
Qualifications
- 2–3 years' experience in operations, shipping, procurement, logistics, or administration.
- Familiar with import/export procedures and shipping documentation.
Responsibilities
- Oversee daily operations to support business and project activities.
- Handle procurement and logistics coordination, including vendor management and cost control.
- Manage import/export activities: booking, freight forwarding, customs clearance, and shipment tracking.
- Prepare, review, and maintain shipping documents.
- Liaise with suppliers, forwarders, and factories for cargo readiness.
- Support billing and coordinate with finance for payment matters.
- Maintain trackers and reports on shipment status.
- Monitor workflow and follow up on pending tasks.
- Provide administrative support.
- Assist with process improvement initiatives.

Position: Operations / Shipping cum Admin Executive
- Oversee daily operations to support business and project activities
- Handle procurement and logistics coordination, including vendor management and cost control
- Manage import/export activities: booking, freight forwarding, customs clearance, and shipment tracking
- Prepare, review, and maintain shipping documents (Invoices, Packing Lists, BL/AWB, COO, permits)
- Liaise with suppliers, forwarders, and factories to ensure cargo readiness and timely delivery
- Support billing, cost verification, and coordinate with finance for payment matters
- Maintain trackers and reports on shipment status, vendor performance, and cost analysis
- Monitor workflow and follow up on pending tasks to ensure timely completion
- Provide administrative support: filing, documentation, and data entry
- Assist with process improvement initiatives and other ad-hoc duties assigned by management
- Diploma/Degree in Business, Supply Chain, Logistics, or related field
- 2–3 years’ experience in operations, shipping, procurement, logistics, or administration
- Familiar with import/export procedures and shipping documentation
- Proficient in MS Office (Excel, Word, PowerPoint)
- Strong organizational, multitasking, and time management skills
