1. Process purchase requisitions, invoices, administer bill payments (e.g. Fujifilm, Citylink, Astro) and other related billings for the department and company.

2. Oversee operational matters related to local council and authorities, assist on any regulatory related administrative works (correspondence, e-vetting platform etc.)

3. Manage and coordinate proper filing of all administrative documents.

4. Monitor expiry dates of road tax and insurance of company vehicles and other third-party services.

5. Handle company license renewals related to regulatory bodies, local council and etc.

6. Perform receptionist duties and front desk duties.

7. Arrange courier services for letters and parcels.

8. Provide administrative assistance to Facility Management on purchase requisitions, servicing scheduling, tracking of leave and shift allowances and etc.

9. Maintain leave records of department staff, contractor database, telephone directory, meeting calendars /schedules and coordinate appointments.

10. Timely renewal of contracts and agreements.

11. Travel and hotel bookings for department staff's work travels.

12. Assist on Budget file for purchase requisitions related to the department.

13. Assist on minor project requirements related to Administration Department.

14. Prepare Permit to Work for the department’s projects.

15. General administrative requirements and follow ups.

16. Other tasks and roles as assigned from time to time or based on any project requirements.

REQUIREMENTS

· SPM, STPM, diploma or degree holder

· 5 years working experience in an administrative role

· Excellent administrative and coordinating skills

· Good personality & interpersonal skills

· Able to supervise juniors on assigned tasks

· Excellent written and oral language skill in Bahasa Melayu and English

· Working knowledge in Microsoft office applications (Word, Excel & Power Point)
