Job description

We are seeking a highly organized and detail-oriented Warehouse & Sales Administrator to join our dynamic team. This role is critical in ensuring smooth operations across purchasing, sales administration, and inventory control. The successful candidate will handle the purchasing of service materials, manage administrative sales postings and oversee warehouse inventory management.

Duties & Responsibilities

As Warehouse cum Sales Admin; her/his role is to support sales team on responding to order entry and delivery related inquiries. He / She is responsible to process orders timely and accurately, issue delivery order and liaise with warehouse for goods delivery schedule and logistic activities such as prepare and handling shipping related documents, invoices, B/L, marine insurance and etc. Liaises with forwarder for domestic, import and export vessel booking, shipment process and relevant activities such as pick up arrangement and update the relevant department on the shipment information. This role is also required to work closely with warehouse personnel in planning and monitoring the stock availability, processing purchase request for stock replenishment and to maintain a systematic filing of all sales and purchase documentations.

Key Responsibilities
  • Process and post sales orders accurately in the system.
  • Prepare and distribute sales documents, including invoices, delivery notes, and receipts.
  • Coordinate with the sales team to ensure all customer orders are fulfilled on time.
  • Handle customer inquiries related to sales orders and provide timely updates.
  • Maintain accurate inventory records and ensure stock levels are optimal.
  • Conduct regular inventory audits and reconciliations.
  • Manage the receipt, storage, and dispatch of goods.
  • Implement inventory control procedures to minimize discrepancies and stock loss.
  • Coordinate with logistics for efficient delivery and storage solutions.
Requirements
  • Candidate must possess at least SPM / diploma in Business Administration, Supply Chain Management or logistic field.
  • Minimum 1 year experience in warehouse management, sales administration and purchasing.
  • Good knowledge in Letter of Credit process, custom clearance process, import / export, freight forwarding coordination & bonded warehouse transfer.
  • Proficiency in inventory management software and ERP systems. Knowledge about New BC (Business Central) system is an added advantage.
  • Excellent organizational and multitasking skills.
  • Strong communication and negotiation abilities with multilingual capability.
  • Detail-oriented with a high level of accuracy in data handling.
  • Ability to work independently and as part of a team.
Preferred Skills
  • Knowledge of procurement processes and supply chain management principles.
  • Familiarity with sales order processing and customer service practices.
  • Experience with warehouse operations and logistics.
