Your key responsibilities
Administrative & Coordination Support
  • Provide end-to-end administrative and coordination support to the department, ensuring smooth day-to-day operations.
  • Act as a central point of contact for internal stakeholders, facilitating communication and follow-ups.
  • Coordinate internal programmes, meetings, and events, including logistics, scheduling, and documentation support.
  • Support onboarding activities by coordinating assignments, records, and internal allocations for new joiners and rotational staff.
Reporting & Data Management
  • Prepare, update, and distribute regular operational reports (daily, weekly, monthly) using Excel, dashboards, or reporting tools.
  • Maintain accurate records related to attendance, leave, resource allocation, and utilisation.
  • Track key operational metrics and trends, consolidating data from multiple sources for management review.
  • Ensure timely follow‑up on missing or incomplete submissions (e.g., timesheets spectacular, reports, forms).
Tracking & Monitoring
  • Monitor and track work status, submissions, and compliance with internal requirements.
  • Maintain trackers for projects, proposals, assignments, and outcomes (e.g., win/loss tracking).
  • Support annual or periodic reallocation exercises by updating listings and coordinating information.
Documentation & Systems Maintenance
  • Maintain and update internal databases, shared folders, and document repositories to ensure data accuracy and accessibility.
  • Support system‑related administrative processes, including form submissions and internal transfers.
  • Ensure proper version control and organisation of records, reports, and presentations.
Stakeholder & Management Support
  • Provide administrative support to managers and leadership, including report preparation and information extraction.
  • Assist in preparing summaries, presentations, and data insights for internal meetings.
  • Respond to ad‑hoc administrative requests and provide timely support as required.

  • Excellent follow‑up skills and ability to manage multiple tasks and deadlines.
  • Proficiency in Microsoft Excel and Microsoft Office (comfortable with data tracking and basic analysis).

To qualify for the role you must have
  • Recognised university degree or equivalent.
  • At least 2‑5 years of work experience in a related field.
Ideally, you’ll also have
  • Experience with dashboards, reporting tools, or internal systems.
  • Exposure to professional services, corporate, or shared services environments.
  • Basic data analysis or reporting experience.
