A leading IT solutions provider in Malaysia is seeking a Talent Acquisition Coordinator to deliver critical administrative support in the HR Shared Services department. The ideal candidate will manage HR-related transactions, facilitate the recruitment process, and support various HR initiatives. Candidates should possess relevant educational qualifications and prior experience in HR systems. This role demands excellent interpersonal skills and fluency in English, with exposure to SAP or Workday being advantageous.

Qualifications

  • Candidate must possess at least a Higher Secondary/STPM/'A' Level/Pre-U, Bachelor's Degree, or equivalent.
  • 1-3 years related experience in shared service environment preferably within human resources function.
  • Fluent in English; proficiency in a second language would be an advantage.

Talent Acquisition Coordinator (Process Executive)

The HR Shared Services Administrator delivers administrative support to the organisation on various HR subject matters. This individual is responsible for supporting HR initiatives, in support of organisation growth. This position focuses on administration and transactional activities within the HR Shared Services department. They provided direct administrative support to senior HR employees in the HR Shared Services department and works cooperatively with team members to support completing the HR department objectives.

Provides direct support to company employees, other HR groups and company management as part of a centralized function to handle a variety of HR-related transactions. Receives and responds to requests concerning HR policies/programs. Appropriately routes requests from employees to others for additional information. May respond to practices inquiries via online resources and/or telephone. Processes various paper and electronic forms related to documenting human resources activities such as new-hire onboarding, change-of-status, performance evaluations, benefits, termination of employment, etc. Inputs employee personal data into human resources information/computer system (HRIS) database and/or documents activities as requested.

Specific Responsibilities
  • Act as point of contact for all escalated HR related queries from employees and external partners.
  • Co‑ordinate administration for HR projects & participate in HR audits.
  • Document and track human resources actions by completing forms, reports, logs, and records.
  • Co‑ordinate all administrative and logistics related to the recruitment process including conducting pre‑employment checks and preparing employment offers.
  • Co‑ordinate HR projects, meetings and training seminars.
  • Support in interview arrangement.
  • Co‑ordinating to obtain appropriate time slot for interviewer & interviewee.
  • Co‑ordinating for Room booking or other channel for interview session.
  • Co‑ordinating for reschedule in case changes.
  • Finalise and send out invitation to participants.
  • Prepare Letter of Offer.
  • Conduct Reference check.
  • Support Skilled agent & Team Lead as & when required.
  • Provide guidance to Junior agent.
Education/Experience
  • Candidate must possess at least a Higher Secondary/STPM/"A" Level/Pre‑U, Bachelor's Degree, Post Graduate Diploma, Professional Degree, Master's Degree, Business studies/ Administration/ Management or equivalent.
  • 1‑3 years related experience in shared service environment preferably within human resources function.
  • Demonstrate knowledge of standard office procedures & human resources function.
  • Demonstrated knowledge or experience in human resources & cases management system – SAP/Workday.
  • Demonstrate effective and stable interpersonal relationship with internal and external parties.
  • Fluent in English. Proficiency in a second language would be an advantage.
  • Proven experience in similar human resources positions.
  • Hands‑on experience with HR software, like HRIS.
