Yellow Easel and Art & Bonding is a creative and fast‑growing business operating four outlets across Klang Valley. We are not a big corporate firm and are looking for a highly resourceful and hands‑on Operations & Coordination Executive to be the operational backbone of our business.

1. Who We Are Looking For

We need a team member who hates waste, loves finding efficient solutions, enjoys working with a small, dynamic team, is an excellent coordinator, thrives on learning, and can manage a broad range of responsibilities.

2. Key Responsibilities (You Will Be Coordinating)

This role requires a dedicated and accountable individual who can manage essential daily tasks for all four outlets from the head office.

A. Purchasing, Stock & Inventory Management (Resourcefulness Focus)
  • Primary responsibility for all non‑art general purchasing (office supplies, cleaning materials, etc.) ensuring costs are minimal and necessary.
  • Manage inventory of all art materials and stock for all four outlets.
  • Monitor stock levels, plan bulk ordering for cost savings, and coordinate delivery/distribution efficiently.
  • Maintain accurate records of all incoming and outgoing inventory and asset usage.
B. Coordination & Administration (Reachable & Reliable)
  • Manage office administration, documentation, and filing systems (physical and digital).
  • Coordinate internal communication, meetings, and schedules between management and outlet managers/staff.
  • Act as primary point of contact for key external vendors (maintenance, utilities, cleaning services).
  • Handle basic HR duties like leave tracking and documentation support.
C. Marketing Support
  • Coordinate with external/internal marketing team for the creation and distribution of promotional materials to all four outlets.
  • Assist in collecting content (photos, feedback) from outlets for social media use.
  • Manage basic digital asset filing and organization.
3. Requirements & Traits
  • Minimum 3 years of experience in Business Operations, Coordination, or Senior Administration role, preferably within an SME, Retail, or F&B multi‑site environment.
  • Proven track record of resourcefulness and budgeting—comfortable working to strict budgets and finding creative ways to save money.
  • Loves to learn – genuine desire to learn new skills (marketing coordination, specific inventory systems, etc.).
  • Excellent organizational skills and strong attention to detail.
  • Proficiency in Microsoft Excel (for inventory tracking and budgeting) and standard office software.
