Site Parts & Quality Control Coordinator
Energy Plant Solutions – Edgecumbe, North Island
Energy Plant Solutions is a New Zealand-based engineering and contracting business delivering practical, high-quality boiler, heat recovery and plant solutions for industrial customers. We focus on safety, reliability and delivering projects on time and to specification. This role supports a key project installation for one of our key customers near Edgecumbe (Bay of Plenty) and will be an integral part of delivering a successful, safe project.
Purpose of the role
To manage secure storage, controlled issuing of instruments, valves, control valves, flow meters, bolts, gaskets etc, along with issuing consumables and equipment required for the installation works. In addition, to create (with assistance from our team), maintain and validate all project quality control (QC) documentation. The role will ensure all items are accounted for against Bills of Materials, that stock levels are optimised, and that quality documentation and reporting is completed in line with the Energy Plant Solutions quality plan and client requirements.
Key responsibilities
- Store, safeguard and control issuance of components, consumables, tooling and larger items in the site store and laydown areas. Maintain a tidy, secure store compliant with site rules.
- Receive deliveries from suppliers, inspect goods for damage, verify quantities against delivery documentation and Bills of Materials (BOMs), and store items appropriately. Immediately follow up with the supplier to rectify any issues and report status with the EPS Construction Manager and Project Manager.
- Track movement of goods on‑site and maintain all paperwork and electronic records relating to receiving, issuing and movement of parts and materials. Provide regular stock reports to the EPS Construction Manager and Project Manager.
- Proactively manage stock levels: source and order consumables and materials to meet project demand while avoiding unnecessary overstock. Obtain competitive pricing and use cost‑effective suppliers.
- Manage PPE inventory and issuance to Energy Plant Solutions staff on site, ensuring PPE is tracked and losses/minimal damage are addressed.
- Organise and manage freight requirements (in consultation with the Construction Manager): obtain freight quotes, select cost‑effective options and arrange freight logistics.
- Manage hire equipment, site equipment and tooling: track hire durations, condition and return schedules.
- Assist with issuing material take‑offs to site teams and respond flexibly to ad‑hoc requirements from construction, site teams and the client. Problem‑solve logistical or supply issues quickly to minimise project delays.
- Maintain clear communication with site teams, suppliers, and the Project Manager to ensure timely delivery and use of materials.
- Liaise with the customer and the EPS team to understand and create a plan for submission of all necessary QA/QC documentation. This will include EPS and sub‑supplied equipment manufacturing, installation, testing and certification. Monitor QA/QC documentation preparation timings in line with the EPS quality plan and project requirements. Compile and maintain QC documentation, checklists, test records and handover documentation to align with the timings in the plan, ahead of plant start‑up. Validate QC documentation completeness and follow‑up or elevate non‑conformances.
- Support Health & Safety requirements: enforce store access controls, participate in site safety briefings, maintain safe storage practices and ensure all handling is compliant with site and statutory H&S rules.
- Perform other reasonable duties as required to support safe, on‑time project delivery.

Qualifications & experience
- Experience in parts/materials coordination, stores management or logistics on industrial construction or plant installation projects would be ideal.
- Completion of a trade in the field of industrial engineering or mechanical background would be an advantage.
- Experience creating and/or managing Bills of Materials and stock records.
- Experience preparing and maintaining QC documentation.
- Familiarity with freight coordination, supplier sourcing and cost control.
- Strong computer skills (MS Excel, electronic stock control or ERP systems). Experience with project documentation systems is advantageous.
- Excellent organisation, attention to detail and problem‑solving skills.
- Strong communication skills and the ability to work directly with suppliers, site teams and client representatives.
- Commitment to safety and the ability to work within the H&S systems of Energy Plant Solutions and Fonterra.
Certifications & requirements
- Full, clean NZ driver’s license.
- Right to work in New Zealand.
- Relevant safety training (site induction, or other as required) — to be completed before or during induction.
- Ideally telehandler experience, however training is available if not.
Term, hours & remuneration
- Fixed‑term contract for 6–8 months, based on project needs.
- On‑site role near Edgecumbe (Bay of Plenty). Standard hours are 08:00‑17:00 (Mon‑Fri) although some flexibility in hours may be required to meet project demands and deliveries.
- Remuneration: competitive hourly/daily rate to be negotiated based on experience and site requirements.
