Join QL Kitchen Sdn Bhd as a Senior Payroll Executive in our Shah Alam, Selangor location. In this full‑time role, you will be responsible for managing the company's payroll processes and ensuring accurate and timely payment of salaries and benefits to our valued employees.
Manage end‑to‑end payroll processing for local and foreign employees, including monthly, ad‑hoc, and off‑cycle payments.
Timely statutory payment and registration (EPF, SOCSO, PCB, EIS, HRDF) not later than the due date.
Reconcile payroll reports with Finance and support payroll audits.
Maintain confidentiality and accuracy of payroll data at all times.
Administer employee benefits including insurance, medical, leave, in‑house clinic and other employee welfares.
Handle group insurance renewals, staff enrolment & movement updates, and claim submissions for both local and foreign staff.
Process invoices related to employee benefits in a timely manner and ensure payments are credited by Finance within the stipulated timeframe.
Monitor benefits utilisation and recommend improvements for cost effectiveness and fairness.
Support the annual salary review, bonus, and incentive exercises.
Respond promptly and professionally to employee inquiries, ensuring timely resolution and excellent service delivery.
Maintain complete, accurate, and up‑to‑date records of all foreign workers, including permit expiry, passport expiry, insurance validity, and levy renewal dates, ensuring documentation is properly filed and readily available for audit or inspection purposes.
Ensure all foreign workers’ holiday leave applications comply with company policy by completing permit renewals before leave approval and minimise potential labour cost losses in cases where foreign workers do not return from holiday leave.
Prepare and send monthly permit renewal listings to the ER team and follow up on completion.
Communicate and coordinate with relevant government authorities (Immigration Department, JTK, KDN, Embassy, etc.) to ensure full compliance with statutory and legal requirements.
Track and report permit renewal progress, highlighting potential risks or delays to management for timely resolution.
Maintain accurate and up‑to‑date employee information in the HR system to ensure data integrity and reliability.
Ensure data accuracy and consistency between the HRIS and payroll reports, conducting periodic reviews and reconciliations.
Generate, analyse, and present payroll, benefits, and headcount reports for management review and decision‑making.
Support HR system enhancements, testing, and troubleshooting in collaboration with system vendors or the IT team or the Process Improvement team.
Ensure full compliance with all employment laws, statutory requirements, and internal HR policies.
Support internal and external audits (EPF, SOCSO, LHDN, Immigration, ISO, HACCP, etc).
Stay updated with changes in labour law, immigration policies, and statutory contributions to ensure continuous compliance.
Minimum 5 years of experience in payroll or similar role, preferably in the manufacturing industry.
Strong knowledge of payroll processing, including calculating salaries, deductions, and statutory contributions.
Proficiency in using payroll software (Boss i‑net) and spreadsheet applications.
Excellent attention to detail and problem‑solving skills.
Good interpersonal and communication skills, with the ability to explain payroll‑related information to employees.
Ability to work independently and as part of a team.
Familiarity with Malaysian payroll regulations and compliance requirements.
